SUMMARY: * Coordinate and schedule meetings for the Director of HIM and performs HIM administrative tasks, such as, maintaining departmental files, invoices and payroll. * Assist HIM Director with preparing various coding reports - coding validation, coders productivity, familiar with coding productivity standards, coding AHA Clinics, Coding AMA Guidelines, classification systems ICD-9-CM and CPT. * Assist and advise with release of information requests. Include, communication with patients, attorneys, and court personnel relating to subpoenas, depositions and court orders. * Assist with HIPAA related requests, investigations. Includes, patient and Hospital Staff communications and maintaining NWH HIPAA Privacy Reporting System. * Responsible for collection of departmental statistics and internal/external reporting. RESPONSIBILITIES: A. Administrative Assistant 1. Schedules internal and external appointments, meetings, HIM Conference Room bookings for HIM Director 2. Prepares presentation material (using PowerPoint, WORD, Excel, etc.) for HIM Director. 3. Responsible for maintaining current inventory of all HIM related policies. Forward any requiring review to HIM Director 3 months prior to due date. 4. Maintains inventory and confidentiality of locked record file. 5. Compiles Departmental productivity/volume statistics and submits to HIM Director on monthly basis. 6. Maintains inventory and monitors ordering of office supplies. 7. Assist with new employee orientation. 8. Works on various projects as assigned by the HIM Director. 9. B. HIPAA Privacy Specialist 1. Assist Privacy Officer with intake, investigation and follow-up of privacy issues. 2. Coordinate and process patient requests for accounting of disclosures, amendments, restrictions and general privacy concerns/complaints. 3. Maintain log of all received complaints, details of investigations, findings and action taken. 4. Summarize and report privacy statistics/audits to NWH Compliance Committee and Partner's Operating Committee. 5. Coordinate and perform survey, assessment, inventory and gap analysis of existing Hospital and Departmental level policies and procedures compared against HIPAA regulations and Partner's approved Policies and Procedures. 6. Assist with prioritizing and developing HIPAA educational needs/tools. Includes, Hospital walk- throughs.
