Daily Duties at Nts Communications Inc.:
Responsible for processing biweekly and semimonthly multi-state payrolls for up to 300 employees from start to finish for several NTS companies. Checked timesheets for accuracy, missed punches, needing PTO hours added, or checking hours and make any corrections needed. Emailed employee of changes to their timesheets. Added commissions or bonuses to the payroll batch. Input all payroll information by entering personnel hires, terminations, raises, transfers, changes, direct deposits, deductions etc. paying special attention to accuracy. Once the timesheets were loaded in to the payroll system, added other miscellaneous items as requested for that payroll, printed the register and checked it thoroughly to be sure all the changes had been done correctly and posted the payroll. The deferred compensation plan was checked each payroll and the funds deducted from the executive’s payroll was uploaded to the plan provider. After each payroll, I would print out the appropriate check requisitions for the taxes, cafeteria plan, 401k, and funds to cover the payroll and gave the check requisitions to accounts payable. I was the payroll administrator and had the permission to reset employee’s passwords and zero out the secret questions and anytime employees had trouble logging into the payroll system, I would assist. Track and maintain PTO records and employee balances making adjustments and corrections as needed. Recalculated seniority dates and made the changes in the payroll system for new hires. Responsible for ordering, assigning, replacing and maintaining pay cards. Funded the pay cards as needed. I kept up with the balance of the pay card account and requested more funds as needed. Reconciled the general ledger account for the pay cards and made journal entries for any changes in the account. When correction to payroll needed to be made, I was responsible for calculating the new amount of the check then I did a reversal of the original check and processed manual check as needed. Sent check next day UPS for out of town employees. Entry into payroll system while assisting employees with payroll issues, timesheet changes, benefits, taxes, 401(k), Section 125 cafeteria plan, flexible spending accounts, HSA accounts, Aflac, life insurance, and beneficiaries etc. Track and apply tax liens, wage garnishments and child support ensuring compliance with governmental entities, regulations and deadlines. Responsible for doing general ledger entries after every payroll and at month’s end. Worked closely with Chief Accountant to ensure payroll accounting is accurate and complete. Worked with Chief accountant to ensure that the employer contributions were correct for each type of benefit offered to the employee. After transitioning to new payroll systems, it was my responsibility to construct the general ledger so that it would be compatible with the accounting software and the accounts were all correct according to company accounting structure and specifications. Worked with Chief accountant to divide up the expenses and incomes that went to all the different locations and departments. Provide various payroll, overtime and personnel reports to senior management and managers. During open enrollment, I assisted employees with their benefits, entered all of the benefits into the pay roll system and updated the amounts on the spreadsheet we kept up with for all benefit deductions. Kept up with the deduction log and updated as needed so we always knew what the totals for each deduction should be in payroll. I updated the beneficiary information in the payroll system with all the benefit data for the company paid life insurance for the employee. I kept up with the annual limits for HSA accounts, Section 125 Cafeteria plan and 401k so that employees would not go over the limits at the end of the year. Responsible for funding employer and employee 401(k) deductions to 401(k) provider in a timely and accurate manner while maintaining records for auditors as well as overseeing completion of QDRO orders. Managed discrimination testing and entire annual 401(k) audit process and work closely with auditors. Responsible for overseeing that the “internal control” was being kept in line with auditor’s wishes. Project manager for payroll system migrations for payroll portion and assist in HR and benefits portion for four systems - Infinium, ADP, Paycom and Pensoft. Assist HR with various HR and benefit paperwork and projects and served as back-up as needed. Enter benefit deductions into payroll system and assisted with open enrollment. Liaison with payroll provider to ensure payroll system is operating correctly and under company specifications in all aspects - deductions, taxes, incomes, general ledger. I was the go-to person for issue resolution in payroll and was the person executives went to for assistance with pay rates and other issues. I constructed the W-2s telling the payroll system what incomes and deductions went in which box on the W-2 and balanced the W-2s at the end of the year.
