Daily Duties at (Contractor) Nnsa Sandia Field Office:
Driving force smoothly orchestrating all project/program management, administrative & HR functions, environmental/regulatory compliance & executive support for Site Manager & Federal staff. Lead 5 support staff. Key Accomplishments: • Admin Pool Operations: Developed reputation for calmly & skillfully handling high stress situations with Federal staff, producing external/internal documents (often as many as 150 daily) to meet very short deadlines, where failure results in fines and penalties. Propel all SFO Admin Pool operations, delivering vital administrative services support to 93 Federal personnel. - Guide Pool staff in enabling Assistant Managers to meet environmental & regulatory deadlines (sometimes on short notice) and assisting Federal SMEs in finalizing their tasks. - As Onsite Supervisor, ensure the client’s mission is met, the contract is met and the Federal staff is assisted in accepting the new Admin Pool operation, replacing individual department admin support. Approach all support issues with patience, understanding and a sense of urgency, demonstrating to all that their work is important and will be completed expeditiously. • Human Resources: Assumed control of HR functions and cut a 60% turnover rate down to less than 5%. Took initiative to create a team-building environment that enhanced productivity and performance. Paired up individuals, older with younger, to work together & teach new skills; also initiated bi-weekly meetings with staff so they could talk about what they needed to do their jobs better. • Process Improvements: Work closely with Contracting Officer’s Representative, Managers and line staff to improve/streamline processes. Process improvements have included: - Configuration Management: Established a Pool configuration management system for correspondence; previously, each person handled their own correspondence and saved it separately. Developed a “centralized folder” where everyone who needed access could gain it. - Vehicle Tracking Log: Centralized government vehicle logs to make it easier to monitor them, reserve & process requests and reserve vehicles in advance. This development made all vehicles readily available and easy-to-locate, rather than searching departments to find a vehicle to use. - Admin Request Form: Innovated an Admin Request Form, which Federal staffers were required to fill out for each request. This removed guesswork by the Pool staff about what was expected. - Task Tracking System: Devised system using Outlook to track projects and tasks. By issuing a task to an individual with a due date & attaching all necessary documentation to complete the task, accurately tracked who/what/where/when it was completed. System helped quantify exactly how long it took to get tasks completed, and allowed everyone to see production status, eliminating conflicts about staff losing items when it was sitting on someone else’s desk. - Contractor Ratings: Raised GenQuest overall ratings with client an astounding 90%, with smooth operations management and sound process improvements. Introduced tracking & Pool coordination, improved HR results/communication and significantly reduced conflict with more effective systems.
