Daily Duties at Hmc Architects:
Provided administrative support for the Construction Administration Department, including staff training, office management, and processing of client correspondence related to healthcare and school projects. • Processed Project Submittals, RFI’s, Change Orders; ensuring effective document and timeline management. • Prior to assignment as Construction Administrative Manager, attended and recorded weekly Construction Meeting Minutes for the Kaiser West Los Angeles Tower Addition Project. • Supported staff training initiatives and conducted one-on-one and small group training regarding specific procedures within the Construction Administration Department. • Provided assistance to the Healthcare Team with preparation of all State Agency (OSHPD) documentation. This also included submitting and tracking of submittals through project close out to ensure projects were in compliance. Provided administrative support for the Healthcare Studio Team. My role also included acting in an executive administrative capacity for a Sr. Healthcare Principal. • Supported ongoing operations, which included answering phones, responding to requests, coordinating information, managing itineraries, and ensuring meeting logistics were finalized. • Calendared events, scheduled meetings, and directed interoffice communications. • Prepared, edited, and organized internal and external reports, correspondence, and presentation materials. This also included transcribing various documents from recording devices. • Inventoried and coordinated office supplies, forms, and materials; negotiated with office supply vendor for contract pricing.
