Daily Duties at Medline Industries, Inc.:

Report directly to the CFO, President of Operations, the and Director of Inventory, as well as assist the President of H/R on an as needed basis, assisting in all Executive Administrative functions including extensive shorthand, especially for Director’s Meeting, which takes approximately two hours each week, and then transcribing my shorthand and distributing to the necessary parties. Project Lead in Financial Planning and Setting up Goals for Finance, Operations, Inventory, and H/R. (Some of these are very confidential, and I do 75% of these for all Departments.) Track and assist in planning budget spending and for each department. Constant communication with the Executives (Board Members) regarding changes or additions for next report due, so I can compile the information and ensure this is accurate and ready for the next meeting. Responsible for coordinating and setting up all Group Travel for all meetings, large or small, including: Preparing presentations and other documents; Ensuring room has adequate space depending on size of group, Setting up travel including flight, hotel, and transportation, In charge of all catering and refreshments, ensure all equipment is set up and ready to go, and anything else that needs to be done. Responsible for scheduling time slots for all in attendance who will be speaking or presenting at the meeting. In charge of all Department Individual Travel (Domestic and International) for Finance, Operations, Inventory and I/S. My last travel project was to set up for 1,114 people and they needed a hotel room for three nights each, some rental cars and some taxis or limousines, and all airline reservations, etc… Responsible for maintaining calendars and accepting meetings and other function dates for the Executives I report to, and ensure anything scheduled or any changes made are communicated to all parties involved. All calendars need to be current and up-to-date for the entire Board of Directors and the departments I work for. Assist with safety guidelines and work with Safety Coordinator regarding rules and regulations and assist on updating the Safety Policy book. Send out surveys each month to all Directors at each location for any tips or other information they would like reviewed and possibly put into our monthly Safety Newsletter. Multitask very well in a fast-paced environment, and handle deadlines very well. Maintain confidential pay information, as well as assist the President of H/R and the CIO on confidential projects such as new hire paperwork, background checks, researching job descriptions for many new positions or open positions, inputting pay increases (Scale or Annual), and any other confidential help needed. Project Lead for all negotiated rates, which include hotels, rental cars, warehouse equipment and gear, cell phones, restaurants, and more. Responsible for approving all vendor invoices for our hotel chains, rental car companies, and other vendors in Operations, Finance, Inventory and sometimes I/S, and ensure invoices are correct before approving and sending to A/P for payment. Maintaining and following up on e-mails for the Executives I am responsible for to ensure anything needed to be addressed was taken care of before end of business day. Write several articles for the Monthly Newsletter, including all of the branches throughout the United States. Maintain Expense reports, receipts, credit card information and profiles, etc…
