Daily Duties at Cci General Contractor :

Activating phone system each morning and forwarding any overnight messages to the appropriate department. Closing system at the end of each day. Answering multiline phone system. Performing maintenance, programming, and upkeep of phone system as needed. Greeting visitors and answering all calls screening them and forwarding them to the appropriate person. Personal assistant to 3 principals and controller, Responsible for faxing, scanning & copying documents, file creation, internet research, data entry, handling of personal, private and confidential information. Maintaining business records for Business License, Insurance, Company Vehicles, Office machine contracts and maintenance. Maintaining office phone and job distribution listings as well as tab system for project binders. Assisting Human Resources by copying, assembling and binding New Hire Packets, Employee Handbooks and safety instruction materials for job sites. Assisting Accounting with copying, sorting, ordering AR/AP documents, making bank deposits. Monitoring and distributing fax to appropriate teams & parties. Receiving and scheduling express mail packages. Facilitated folding and mass mailing of bid packages and plans. Picking up opening and distributing daily incoming mail. Processing each day’s outgoing mail. Maintaining conference room scheduling for all employees. Escorting visitors and clients to staff members’ offices. Providing hospitality service arrangements as requested for staff, meetings and client conferences. Monitoring office supplies, company apparel and safety supplies and assisting in the order of same. Providing administrative/secretarial support for supervisors, project managers & engineers as requested.
