I prepared and typed a variety of material in rough draft and in final form, including memorandums, drafts, letters, reports, requests, and statistics and ensured the use of correct punctuation, spelling, capitalization and grammatical usage in the material typed; answered telephone and received visitors; received, screened, disseminated and controlled incoming mail; Transcribes notes; makes distribution of appropriate memos, reports, notices; and maintains on file all material pertinent to the Agency's operation. Establishes and maintains files for reports and statistical data, as well as other administrative material. Maintains files and records of incoming and outgoing correspondence, and establishes a tickler system to follow-up on items requiring action. Composes routine correspondence; Maintains inventory and prepares purchase requests for critical supplies. Ensuring orders are placed in a timely manner in order to prevent emergency requisitions. Ensured files were screened and that proper retention, destruction or retirement procedures were followed; answered telephone and received visitors; maintained official bulletin board; maintained the official library for the office, posting necessary additions, deletions, changes to various regulations/instructions; operated standard office machines incidental to clerical assignments; used a personal computer to make inquiries, to transcribe, correct, verify or gather data, change, delete, or add entries as specified; filed and retrieved information/ documents based on knowledge of filing system; made copies of documents using an office copier and distributed accordingly; used a facsimile machine to transmit documents electronically; compiled timesheets, attendance, human resources and leave data for employees and contractors; Strong knowledge in a variety of office automation software packages to include, Word, Excel, PowerPoint, Access, Outlook to produce a wide range of documents, files and reports; compiled information for weekly reports; Maintained electronic office calendars and schedules for the division using MS Outlook (email).
