Daily Duties at Fairview Health Services:

Role-model use of electronic tools and document handling, including production, distribution, organization, and storage; demonstrate expert computer skills and application proficiency to include, email applications, Visio, Microsoft Word, Excel, Access, and PowerPoint; ability to create and format large documents, greater than one hundred (100) pages, to external audiences and physicians Role-model processes, techniques, and procedures inherent to the position of administrative assistant; maintain and demonstrate an ongoing commitment to quality standards and raising the bar by engaging in ongoing training and development Compose, edit, and proofread correspondence, including those of a confidential and/or sensitive nature Anticipate meetings, presentations, and deadlines, manage calendars to ensure appropriate preparation time; ability to reprioritize assignments, as needed; maintain executive ‘rolodex’ and calendar; schedule and arrange appointments Facilitate and prioritize access to executive through meetings and telephone contact; role-model customer service initiatives Open, sort, distribute, answer, and prioritize mail, including those of a confidential and/or sensitive nature Answer external and physician inquiries; respond to requests for information, as appropriate; role-model customer service initiatives; receive and assist visitors; answer telephone calls, and screen as necessary Gather information and develop summaries as requested, compile reports from database and existing records; copy, collate, and distribute information, including those of a confidential and/or sensitive nature Develop and implement office procedures related to coordination of interoffice communication, records, and systems Order office supplies and equipment, as necessary; ensure adequacy of supplies and equipment Establish and maintain files, correspondence, records, and reports, including those of a confidential and/or sensitive nature Assist with routine and special projects and presentations to external audiences and physicians Make conference and travel arrangements; complete appropriate request and expense forms; coordinate iteneraries Coordinate and organize routine and project-specific meetings and events Transcribe coorespondence and reports, including those of a confidential and/or sensitive nature Build and maintain positive relationships with internal and external customers, physcians with whom the executive interacts; role-model customer service initiatives Possess, demonstrate, and maintain a general knowledge of IS department operations Demonstrate ingenuity, initiative and follow-through, and problem-solving skills Demonstrate flexibility, assist other team members, as needed, and accomplish additional assignments and tasks, as designated by the executive Attend meetings as assigned, report on actions; role-model customer service initiatives
