Daily Duties at Shepard Retail Services, Inc.:
Executive Assistant Responsibilities Schedule monthly calendars, confirm all meetings and reservations Check director’s emails and print out all important information Prepare all pamphlets, sales presentations, expense reports and proposals Keep director up to date on daily task and current issues Assist in answering incoming lines and prioritize according to urgency Prepare meeting minutes for clients with updates, issues, pending proposals, past due invoices, and current work tickets. Make travel arrangements international and domestic: hotel, air, rent a car, and restaurant reservations Account Manager Responsibilities Manage client store openings, monthly maintenance, housekeeping, HVAC, and special requests based on scope of work as determined by client. Monitor projects to ensure that procedures, materials and equipment comply with approved project plans, specifications, and company quality guidelines. Submit and prepare detailed reports and notifications as appropriate or as assigned by Client’s. Schedule, assign, prepare and then dispatch all Project Managers retail assignments for store openings. Prepare Project Managers travel arrangements domestic and internationally. Maintain all retail and sub contractor files Enter and maintain daily retail activity into a database Contact clients to make sure they are satisfied with services performed Research on the internet for new sub contractors Prepare and approve all sub-contractors bids, and invoices Review and submit to accounting, all project manager’s expenses, retail reports and subcontractors invoices Submit and prepare weekly payroll Confirm and schedule new projects with clients Assist accounting with past due invoices and miscellaneous American Express charges
