Daily Duties at Hispanic Housing Development Corporation:

Provide high-level administrative support to Vice-President of Property Management Division of a not-for-profit organization that serves as a managing agent and developer with over 4,300 + units in Chicagoland. ? Assist VP-PM in reviewing and completing monthly income/expense statements (variance reports), budget completion; year end performance evaluation and bonus criteria report for all Property Management staff. ? Assist VP-PM in tracking resident’s legal complaints; personnel issues including disciplinary and legal; assist with Job Descriptions revisions and inputs. ? Manage and maintain VP-PM schedules, emails, phone calls, daily correspondence and personal reimbursements. Assisted VP with outside commitments. ? Travel arrangements for VP-PM, Property Supervisors and on-site staff. ? Prepare invoices, reports, memos, and letters. ? Read and analyze memos received, submissions, and reports to determine their significance and plan their distribution. ? Prepare agendas and make arrangements for staff, managers’, and other meetings. ? Collaborate with Director of Operations and Property Supervisors with the daily operations. ? Supervise and train clerical, technical, interns, and temporary staff. ? Provide assistance and technical support to VP-PM, Supervisors, and other corporate staff members. ? Monitor the submissions of monthly, quarterly and annual compliance, procurement and section 3 reports to the Public Housing Agency (Chicago Housing Authority) and to the Auditors. ? Actively participation with the Public Housing Agency, CHA, for compliance requests and procurement process (IFB’s, RFP’s) ? Design data formats for analysis and databases for: employee records, overtime, complaints, resumes, inspections, and incidents. ? Develop internal correspondence that facilitate effective communication and transfer of information between corporate staff and seventeen on-site offices. ? Translate (in Spanish) major marketing materials and letters to residents related to take-over of new property acquisitions. ? Actively participation in community housing fairs, employment fairs, marketing campaigns, open house, and community orientation. ? Assist with marketing vacant apartments. Troubleshoot and assist with leasing inquiries and complaints receive. ? Assist with coordination of company’s annual events such as employee luncheon, senior picnic, 3 Kings Day and Christmas party. ? Assist with hiring process and keep track of employee vacant positions. ? Kept track of employee history such as promotions, demotions, transfers, new hires, separations, six months probationary period evaluations, annual evaluations and performance review. Maintain all personnel records for sick/vacations and floater days (union staff). ? Monitor on-site employees with absenteeism and made recommendations to Supervisors and HR Manager. ? Oversee payroll submissions; monitor and correct overtime overpay resulting in a substantial savings to properties. ? Manage invoice and billing process in the absence of Property Supervisor. ? In charge of Property Management employees required and continuing education. Schedule classes and trainings, handle associated payments. Track education taken per position and requirements, and provide status of exams. Track and assist with Leasing License compliance oversight; correspond with the managing broker and the Office of Banks and Real Estate (OBRE). Coordinate continuing education and license renewals for all leasing and sales license staff. ? Prepare meeting agendas and carefully monitor all action items. ? Assist with the coordination and preparation of Request for Proposals. ? Assist corporate staff with special projects & project management administration.
