Daily Duties at Dst:

•Administration Assistant IV/contractor @ Department of Transportation with the Federal Highway Administration (FHWA). •Provides secretarial and administrative support to the Office of Safety, Research, and Development. •Screens calls and visitors; Escort’s visitors to their appropriate destination within the FHWA. •Maintains control over the team leaders’ calendars. •Serves as buffer and acts as liaison between team leaders and team members, visitors, and the director and the staff by providing accurate, timely advice on procedures, reports, requirements, and other matters necessary to implement the director’s policies, directives and instructions. •Arranges and schedules meetings and conferences, tele-conferences, and conference calls with various other states informing participants of topics to be discussed and provides background information. •Attends meetings occasionally, notes commitments made, informs staff of commitments, and arranges for staff to follow through on implementation. •Screens incoming mail and correspondence items, distribute appropriately, researches background information, and refers action items to appropriated staff member for action. •Maintains control records on action documents, following up on work in progress to ensure timely actions. Independently prepares non-technical correspondence. •Reviews correspondence and documents prepared for the Director’s signature for procedural and grammatical accuracy, conformance with general policy. •Read incoming correspondence, publications, regulations, and directives that may affect the organization, bringing significant items to the attention of a team leader. •Prepare, proofread, and edit a wide variety of correspondences, reports, and memorandums. Makes all necessary arrangements for travel. •Prepares international and domestic travel orders and vouchers. •Uses the full range of office automation equipment and word processing software to produce a variety of documents, charts, and reports. •Creates and maintains databases, spreadsheets, presentations, graphics, slides, and other computer files. •Prepare budgets, procurements requests and expense reimbursements, Order office supplies, Keep track of time sheet of personnel. Assist with miscellaneous special projects as requested. •Interact with staff at all levels (within the Office of Safety and customers) both on the phone and in person. •Provide professional and courteous service via telephone and in person fro all functions. Supportive of all members of the organization.
