Daily Duties at Lord, Aeck & Sargent, Incorporated:
Supported departments Historic Preservation, Studio Science, and Interior Design. Assisted Principals and Project Managers in routine activities for ensuring smooth execution and timely completion of projects. Organized conference calls for clients via satellite with other offices by utilizing Lync, Go-to-Meeting. Managed expenses accounts for many people and verified them with their American Express cards. Greeted incoming visitors with a warm, welcoming smile, answering and directing phone calls to corresponding departments for further processing, while managing a switchboard simultaneously. Prepared and evaluated project proposals for delivery to their bidders. Played an active role in the planning and execution of (10-15) projects worth approximately $200M or less than $100,000 while overseeing accounts payable along with all pay apps, invoices, and change orders. Ensured continuity of working procedures by examining studio supplies, preparing project documents and drawings, and maintaining detailed records. Optimized skill set regarding RFP bidding and management; oversaw all facets of contracts from the Owner, MEP, Civil, and Structural after securing projects. Facilitated in saving time and money by creating and evaluating specifications through the BSD spec link. Managed expense accounts for the President/Principal/Directors/Project Managers. Managed conference calls for clients, offices of the organization via satellite by utilizing Skype, Lynch, Go-to-Meeting for projects. Managed and Scheduled Outlook Calendar - Scheduled, updated and accepted meeting calendars for various department heads (delegated to me by the Principal/Project Manager), and to coincide it with other people in the organization to implement a plan before a project would commence as well as thorough out the entirety of the projects. Travel: Flight arrangements, hotel and car reservations for President/Principal/Clients, and other people when travel was required.
