Daily Duties at Southern Illinois University Carbondale, Student Center:

Continues to fulfill all responsibilities of the Space Administrator II position while taking on additional responsibilities such as, assisting with the hiring and training of four Building Managers, Assistant Scheduling Coordinator and any additional staff, including interns and extra help employees. • Assists with facility management through enforcement of building policy and makes recommendations for revision of policies as needed to best facilitate the University and the patrons of the Student Center. • With the departure of Chartwell’s Dining Service from the Student Center, I have assisted with evaluation, and implementation of new policies and procedures that affect how food and alcohol service is provided to customers at events, specifically related to catering process, policies and procedures. • Supervises the processing of all requests for space utilization including coordinating work assignment for Student Center staff including custodians, audio/visual technicians, building managers and catering personnel through production of daily and weekly labor request reports. These reports are used to fulfill the customer’s needs in conjunction with their event. • Coordinates all applicable charges for scheduled events to the Student Center Business Office for processing of payment for events that have occurred within the Student Center. • Reviews expired contracts on a daily basis for any charges related to events and makes sure that all charges have been applied and correct discounts have been attached. • During the FY18 fiscal year, billed approximately $ 350,000 in contractual services of the Student Center. • Works with 3rd party contractors to coordinate supplies and or equipment for particular events. • Reviews charges submitted by the Audio-Visual department, other departments on campus and 3rd party contractors that we may rent equipment and/or decorations and attaches invoices to appropriate contracts. • Responsible for maintaining our Event Management Software system with accurate quantities of equipment to ensure that we do not over book equipment, rooms and staff. • Knows the importance of meeting with individuals to discuss all the details of their event, to ensure all needs are met and nothing is forgotten or miscommunicated. • Reviews building manager reports and works with Assistant Director to appropriately correspond with organizations and advisors when breech of policy occurs. • Works with Assistant Director to maintain Event Management Systems software, the computerized reservations system used for compilation of scheduling and catering events. • Assists with trouble-shooting reservation system program technical problems. • Assist with evening/weekend special events as needed. • Produces customized reports to help evaluate the needs of the facility and ways to improve both customer service and facility usage. • Performs responsibilities of the Assistant Director as requested during her absence. • Committee member for the International Festival that showcases various countries across the globe by providing a buffet of international cuisine and a cultural show. • Manage our Student Manager Software, which is computer software that is used to register participants for camps, conferences, classes and events on and off-campus. • Responsible for managing entry of payments of camps, conferences, classes and events on and off-campus, which was approximately $350,000 plus in FY18.
