Contract Administrator (CA) • Supported customer needs related to the creation and management of service contracts and resulting invoices. • Audit contract terms and entered agreements in production system (SAP). • Researched complex billing concerns, facilitated conference calls related to billing / credit matters possibly preventing the release of time sensitive orders including service hold notices as well as collection issues. • Worked as liaison between customer and Siemens by reporting outstanding invoicing issues to the customer to help resolve discrepancies related to incorrect pricing or incorrect purchase orders. • Supported a high producing team of 6 service managers and 14 sales executives. • Monthly research of the funding report to locate funds received from Sales to Service then determined what actions needed to orders/accounts to apply the payments to expeditiously to prevent incorrect revenue statements. • Daily worked to reduce disputes as a percentage of Accounts Receivables by researching payments received partnering with disputes coordinator and customers directly. • Resolves monthly revenue recognition discrepancies through monitoring deltas. • Built / formatted pivot tables to adhere to customer/ end user preferences when reporting contract balance and ordering history. Data Management Specialist Created, managed and controlled the equipment and customer account database including past due account data. Responsible for data integrity for new, existing, removed and relocated equipment, as well as, the creation and maintenance of customer accounts. Service Billing Coordinator (Senior Service Coordinator) Audited service reports submitted by field service technicians. Managed service related billing for customers as well as performed accounts payable duties for the Carolinas and DC region, working closely with vendors and customers. Proactively addressed billing concerns by calling customers to resolve outstanding billing issues. Managed billing related to contract, warranty and Time & Material customers. Established purchase orders for vendor orders. Facilitated training sessions where I created training manuals, set training schedule as well as mentored new hires. Direct Sales Specialist Created orders for service parts and coordinated the shipping arrangements from storage locations to the customer’s site. Processed requests for pricing and part availability. Established credit accounts for new customers in SAP, partnered with the Credit & Collections group in maintaining accurate customer information. Placed part orders for vendors such as GE, Premier- CTS and MEDLAB. Performed cross functional duties; CSR, Dispatcher, Order Entry/Direct Sales Rep and trainer. Order Entry Representative Created orders for service parts and coordinated the shipping arrangements from storage locations directly to the Service Engineers. Created purchase orders, coordinated shipping arrangements through third party shipping company, followed up with Service Engineers on estimated shipping dates /times and tracked urgent or lost shipments. Customer Service Representative (CSR) Received and managed internal / external customer requests related to initiating a service notification (reactive service, preventative maintenance, mandatory & non-mandatory notifications). Performed task management, paged Service Engineers with important messages from Area Service Managers and customers.
