Daily Duties at Adventist Health Jones Lang La Salle:
To implement the first enterprise-wide facilities call center for Adventist Health West, which in 2013 consisted of approximately 21 hospitals and about 600 leased properties in the portfolio. Duties: finding a location in the Southern region that could house 12 call center representatives, a Supervisor, and 3 Quality Assurance Coordinators first each of the 3 shifts. The location specifications were that there was a back-up generator to minimize potential downtime, and to be sure that network and telephone connectivity was in place so that very little new equipment wiring was needed since the implementation period was from September of 2013, to November of 2013. Trained by JLL on their facilities work order application and their telephony application; then, had to train team prior to go-live in November. Worked with all 21 de-centralized Adventist Health locations and properties, to have the various Adventist Health Telecom Engineers point all existing numbers to newly obtained toll-free number - worked with Telecom and phone company to acquire. Provided scripting to call center team and customer service training; quality monitoring score sheets were developed and communicated to staff after training occurred. Guidelines for use of documenting work orders was also implemented and used as total quality score cards for teams. Finally, worked with Adventist Health and JLL, to create new standard policies around new facilities and engineering call center. Provided data to executives of Adventist Health and JLL that aligned to service goals. These goals included meeting and/or exceeding service level goals for completion of work orders, as well as provided data to analyze opportunities to improve service standards. Courtesy of the team was also rated in a survey that was attached to each incoming call/caller.
