Daily Duties at Discovery Support Services:

Charged managing daily operations of Production Department, staff of thirty-five. Evaluate data for trend analysis with employees production and error rates. Also, reviewed monthly production demands to ensure staffing demands are met for new business and growing demand. Maintain and modify approved production procedure for efficiency. Initiate training material to ensure all employees are meeting quality standards. • Developed workload spreadsheet outlining 90-day production staffing numbers, which helped identify when new employees needed to be hired for production demand. • Increased the Production Team from 5 employees to 30 employees to meet demand of work load. • Developed review criteria for the Production staffed, which provided consistencies in the process of each review. Also, this provided a standard, and reduced the time spent on the review process. • Acknowledged by management as a proven leader with knowledge of industry trends. • Worked with IT to develop a process to ensure data entry would not pass subpoena orders through the production system in on hold status. This helped reduce requester calls on subpoena orders and hospitals being subpoenaed for contempt of court. • Acknowledged by provider clients and peers for ability to answer questions and provide the best possible customer service. • Recognized as go–to person for operation questions. • Worked with IT to develop a report tracking system for the entire organization to review in what area of production the order was in, which reduced time spent on emails. This, also, helped the Customer Service Department, Accounting Department and the Medical Record Specialist provided useful feedback on each order during customer communication and provider communication. • Worked with IT to develop a process that ensured certifications were not mailed on any orders that had not passed the Quality Control process. • Assisted in the development of a Production Program that provides statistical data for the entire operations of Discovery Health Records Solutions, which helps with both the quality and quantity of work being produced. • Ability to research and define problems within the program and develop solutions. Used in testing of solutions before they are implemented by the organization. • Provided insight to IT to develop a time clock program. The time clock reduced incorrect reporting of hours by hourly staff. Also, the time clock reduced the amount of time spent by management reviewing hours from 4 hours to 30 minutes. • Provided insight to IT department in creating a process for reject orders, where they would move through the print program instead of Data Entry printing and mailing the reject letters. This reduced the time spent by Data Entry on each order, and produced a tracking process for rejects to ensure multiple letters were not sent to one location in error. Basically, reducing Discovery’s liability with HIPAA violations. • Presented a process to IT for Providers to be reassigned without new orders having to be created. This provided relief to the Medical Record Specialist and efficiency where new orders did not have to be created on each order where an error had occurred. • Act as liaison between departments to include IT, Accounting, Customer Service and the Field. • Presented to IT a process that would allow all work order going through one upload process and being disbursed to the correct locations. This reduced the amount of time the Field spent on uploading and errors created by the Field when uploading through multiple programs. • Devised a process for Requester’s home screens to have specific preapproval amounts. This reduced the amount of orders that were processed through Production with a specific preapproval amount and reduced the revenue lost for sending orders in error. • Handled IT outages on consistent basis to ensure daily work load was completed as expected. • Proven ability to communicate, train, and provide helpful feedback to all Production employees, which has reduced turnover within the department. • Identified errors with production employees and implemented training manuals to help with errors. • Created bonus tracking spreadsheet to identify, which employees qualified for bonus. The spreadsheet, also, provided useful information on employees who were struggling to reach production goal, which helped provided training opportunities. • Ensure Records are processed through Production in the seven-day turnaround time.
