Daily Duties at Onco Med Pharmaceuticals:
As an EA, my role is to Provide complex and daily meeting and event management, scheduling and coordinated executives world wide presence at various internal and external meetings by managing registrations, flights hotel and ground transportation. identifying scope of work/budget, coordinated and scheduled Teleconferences/skype/webex or in person meetings. took meeting notes and document action items. Communicated action items with various stakeholders to ensure timelines were being met . Flagged/documented and communicated potential timeline slippages. Manage cost center budget by attending monthly meetings with the Finance team and reviewing monthly and quarterly spend reports and identify potential budgetary increases or decreases and make necessary adjustments then communicate these adjustments to the leadership team. create and process expense reports. As a PM, team lead for the scientific meeting & publications planning sub-team. Responsible for leading the team in the creation of the process & scope of work document which increased the various departments ability to meet the non-negotiable time lines for publication submissions and reduced the costs to produce the posters as a master template and poster specs were documented for all to use and significantly reduced the amount of errors, re-make of these very large congress posters and time involved in creating them and taking them to the vendor for printing/laminating. cost per poster $300.00 each. Plan and executed events such as local team and global networking for Principal Investigator meetings, Scientific Advisory Board meetings, and partner meetings. Did so by creating the scope of work/budget, created the logistical planning doc and critical path to ensure timelines were met for a successful meeting. created, managed/updated processes to ensure timely development of strategic documents & tools throughout the project phases. Strategic projects I work on have an on-going lifecycle that have a span of 18 months to 7 years. Research, edit, format and distribute documents, presentations and store in a shared repository for team access. Managed repository by removing old versions of files and monitoring to ensure current version of presentation or documents were being updated and stored appropriately. PM/team lead for the sub-team goals/deliverables and was responsible for leading the meeting discussion for the goals/deliverable creation. ensure alignment with the Corporate goals. tracked by conducting monthly product discussions at the sub-team meetings so that any goal slippages were flagged, notes tracked and if necessary, brought to the attention of the Executive leadership team to create awareness and additional decision making.
