Daily Duties at Law Office Of Blatt, Hasenmiller, Leibsker & Moore Llc:

Supervise activities of 13 employees (7 client services and 6 office services) Act as escalation point for all complex or urgent client requests (this includes completing RFP's for prospective new clients, survey's, Client complaints, special projects, executive complaints, special reports and escalated calls. Performs internal audits on key processes (Examples are Scanning of documents, File closures, Post Judgment Interest rates, Commission rates, sorting and delivery of correspondence, Client interface mapping, and client services response rates). Analyzing and responding to internal and external audit issues (this includes clean desk audit, Return mail audit, any deficiencies which are in the wheelhouse of client and office services discovered during a client audit (examples of client audit findings are Scanning deficiencies, incorrect client payment allocation, Inventory discrepancies,Client interface sending the incorrect code to client, and late or untimely file closures)). Setting and tracking employee goals and performance (for office services we track different topics which vary by the employees job description. We track the number of affidavits processed, number of files worked, Count of mail processed (envelope stuffed and postage posted)). For client services we track the number of e-mails received each day and we track response times (response times are same day for urgent/escalated requests, and 2 days for routine requests). We also track our tasks to ensure all tasks/reports are completed by each deadline (client determines the deadline). Completing all client changes and ensuring the firm is in compliance with new and existing client work standards (examples of client changes are commission or interest rates, client interface changes, payment allocation, and contact information). Creating and maintaining client services and office services department policies and procedures On-boarding all new clients in our data base and updating the client information as necessary. This includes commission/fee schedule, client remittance, payment spread, settlement authority, special client procedures and client contact information. Manages all client conference calls and ensures that reports on client performance or client specific topic are available for the call (this includes collection reports, it also includes production reports which contain number of suits filed, number of service perfected, number of judgment perfected, number of garnishments filed and number of paying accounts). Each of our clients has their own topics that they like to discuss during our calls so each call is different. Forecasting to clients on projected costs, suit or collection volumes. Works closely with other departments when changes or issues occur (example is if a client is not satisfied with our lawsuit rate I would run a report to determine if there was an issue and if there was I would meet with our suit production management to work on improving our rates). Responding to client questionnaires, surveys and RFP's. Assisting our internal audit team with client audits and ensuring that they are aware of all client work standard changes (As clients visit our firm to audit I will often handle the file review portion of the audit which gives our audit team a break to do other work (some client audits last a long as 5 full days on site). Ensuring that employee score cards are up to date and key performance indicators are relevant (It's important to me that each employee knows where they stand in terms of performance). Each month I review the employees score card with them. Writing and administering employee performance reviews (monthly score cards make this process very easy). Approving discipline, including termination of employment.
