 Calendared meetings, managed interview schedules, handled conference registrations, provided non-technical follow-up communication with partners and staff for EA Vice President  Using Expense Point, processed travel reimbursement for External Affairs Vice President, Senior Directors, and Senior Advisor for Global Affairs and produced their itinerary packets prior to travel  Provided administrative and/or project coordination support for 5 departments: Clinical Operations, Epidemiology, CSSM, Operations/EHS & External Affairs  Processed all invoices for Clinical Operations: log on ticker spreadsheet, code for departmental charges, circulate for signature, document in budget trackers, save digital copy, and deliver approved invoices to A/P  Coordinated and scheduled multiple cross-continental teleconferences and WebEx meetings weekly  Produced and distributed agendas and minutes for Bi-Weekly Clin Ops meeting  Researched and produced weekly news digest for company-wide distribution of articles related to tuberculosis  Developed Clinical and External Affairs SharePoint library layout and helped trouble-shoot Project Management’s  Coordinating collection of resources, meetings, and email communications for multiple parties, internal and external to Aeras, in preparation for an NIH study trial grant submission; produce and distribute meeting minutes to core team  Identified available space, set-up desks, handled access badge distribution, and created welcome signs for multiple and overlapping visitors from Aeras South Africa and China offices, plus a consultant from the Pacific Northwest  Updated Aeras Google Tracker website map with reported U.S. TB cases
