Daily Duties at Fidelity Investments – Capital Markets Division (Nyc Metro Area):

Provide executive level administrative support to the Executive Director- Head of Equities, the SVP- Head of Trades and the NASDAQ traders with high degree of initiative, confidentiality and professional demeanor to a HIGH-PACED deadline driven organization. Maintain poise to project a professional image of the office with high energy, diplomacy and creativity in work strategies. • Maintain calendar using Microsoft Outlook • Answer/screen calls, contacts and visitors – Intercept and resolve issues or requests on behalf of Executive Director when necessary • Expense management – Utilize company systems to prepare, submit and track invoices, reimbursements, expense reports and related record-keeping in a timely manner • Oversee and manage inventories for: office supplies, computers, printers, fax machine and phone related equipment • Coordinated special events like the company holiday party, fundraisers, volunteer efforts and client entertainment • Manage site moves due to growth as well as post 9/11 and coordinated all special projects including contingency plans • Provide assistance to “line of business” managers regarding “new hires” and “terminated” employees • Perform the duties of Liaison for Securities, Registration Department, and Human Resources located in Boston • Serve as point of contact for any concerns regarding FCM space including climate control, repairs and cleaning requests with Building Operations staff • Oversee all security related issues as well as emergency and safety related services • Monitor and report the progress/status of various highly visible or sensitive projects as needed or requested • Compile data analyses for quarterly and annual reports, resolved discrepancies and accountable for overall inventory • Initiate and maintain key internal relationships with senior managers, and corporate offices to ensure smooth flow of work through office • Anticipate the needs of the office, planned for its development, recommended necessary changes, and took independent action • Manage the reception and administrative staff • Organize vacation schedules, coordinate workflow distribution and performance evaluations to administrative assistants and receptionist to help build a positive team atmosphere
