Daily Duties at Malais Insurance Agency, Inc., Aflac Regional Sales Office:
At Malais Insurance Agency, Inc., I report directly to the President. I initially began in a consulting capacity, and was responsible for learning the administrative and back-end aspects of the organization in order to define requirements and streamline processes for maximum effectiveness and efficiency, as well as consulting on the prospect of the President’s plan to develop Third Party Administrative services and add products from additional insurance carriers for existing and prospective clients with the use of financial analysis and modelling. A Third Party Administrator (TPA) requires a bond due to the fiscal responsibility for errors and omissions, necessitating 100% accuracy in payroll deduction submissions. I was eventually hired on as a full-time Business and Financial Analyst. I began by learning the flow of administrative processes, involving auditing new agent business (insurance policy applications) for completeness and accuracy, supporting multiple agents in the field with timely and accurate information on existing policyholder insurance portfolios, servicing policyholders with questions about their policies, claims and premiums, supplying Los Angeles County employee unions with accurate payroll deduction data, employee policy and premium informational requests as well as supporting Aflac home office as a liaison between policyholders, agents, employee unions and Aflac with accurate and timely informational and administrative requests. Once a suitable understanding of the administrative processes was mastered, I began analyzing and defining requirements for best-practices of all administrative processes and developing a restructuring plan for all aspects of these processes. The restructuring of processes included developing two proprietary networked desktop applications capable of the automated sending, receiving and integration of data between Aflac and employee union Websites and flat files. These new systems proved instrumental when Malais Insurance Agency began offering insurance products other than those from Aflac, as it enabled seamless integration of new insurance carrier data into the system. This allows administrative staff to view a policyholder’s data from multiple carriers instantly on one screen instantly. The databases also enabled queries against data improving marketing, sales/commission monitoring as well as organizational performance and improvement efforts. The company keeps hard files on approximately 20,000 policy holders and I was able to set up a document imaging system integrated with one of the databases enabling administrative personnel to pull files up on their desktop to avoid time consuming and inefficient retrieval of policy holder hard files during the course of their administrative activities. I also successfully assumed the role of compiling and presenting cost/benefit analyses to the company president related to real estate leasing decisions for new locations, setting up and managing procurement efforts, including RFPs and vendor selection for office equipment and services, as well as managing G/L and account reconciliations in the company’s accounting application. I am responsible for all accounting and control functions, including payroll, accounts payable, commissions receivable, account reconciliations, and preparation of financial reports and the G/L for the external CPA to file the corporation’s annual State and Federal tax returns. Finally, I was responsible for the company’s regulatory compliance, including mandatory corporate and tax filings (business, property, use, etc.).
