Daily Duties at Mazda North America Operation:
Provided confidential administrative support to the Vice President of Sales Operations, Logistics, and Parts and Service. Additional support provided to the Director of Sales Ops and Logistics. Coordinated VP/Director calendars and schedules, travel needs and itineraries; coordinated with Mazda Corporate Japan to set up monthly sales and production meeting notices and live pictels. Participated and followed-up on action items from staff meetings as well as projects and initiated new employee set up process for the department. Trained incoming administrative assistants for other departments; provided Notary services. Budget coordinator for Sales Ops and Logistics which involved monitoring and reporting annual and monthly budget allocations to department managers, monthly executive summary reports, and consolidated year-end budget forms. Trained in accounting FCAP System and coordinated the annual records retention process for Sales Ops & Logistics. Created Power Point presentations, maintained Excel reports for weekly shipping schedules and arrival ports; distributed weekly updates to ports and logistics managers, and monthly sales-end reports. Planned and facilitated the annual Sales Ops Team Building events and provide support for the National field sales events and activities. Processed daily Electronic Field Communications (eFC’s) which were distributed nationally and locally to all Regions, Ports, and other Mazda Corporate locations. Communications were then sent to the IT helpdesk to provide necessary information to be distributed to all dealers nationally.
