Daily Duties at Transportation Corridor Agencies:
Currently provide comprehensive and effective confidential administrative support to the CEO during and after work hours as needed. Work diligently to protect CEO’s time with staff and board members to ensure he is available when meetings are requested; manage the CEO’s calendar, coordinate travel for CEO, staff, and board members; prepare monthly expense reports. Organize and support on and off-site staff meetings. Research questions and issues and provide logical, organized information for the CEO, Board of Directors and Executive Team. Receive, review, sort, distribute and/or respond to correspondence and follow-up on requests for information and on meeting action items. Compile and prepare executive team staff agendas, and chair/vice-chair agendas. Provide and coordinate helicopter tours for visiting politicians to view the agencies toll roads. Provide oversight, industry and technology information as well as assistance to admin support staff. Organize and conduct support staff meetings to resolve issues and provide training as needed. Clerk of the Board for Foothill/Eastern Board of Directors and San Joaquin Hills Board of Directors: Duties include preparing agendas, agenda materials, and agenda packages for Board and Committee meetings. Prepare and maintain records of all proceedings of the Board of Directors including minutes and official documents. Attend weekly Executive Team meetings to confer with department heads and staff members to coordinate the preparation of agendas for Board and Committee meetings, post agendas for public viewing. Prepare meeting rooms and coordinate meal and beverage services, initiate correspondence, forward documents, and relay information to appropriate parties, and prepare Minute Orders and Resolutions. Prepare and maintain Board compensation records and FPPC Form 700s, prepare and process directors’ expense reports, and prepare the annual TCA meeting schedule. Update and keep current information available for Board of Directors Quick Reference Guides. Organize, administer, and maintain a variety of TCA files and records in accordance with the Public Records Act and departmental policies; follow Robert’s Rules of Order and the California Brown Act to advise board members of appropriate protocols.
