Daily Duties at Counseling Associates Inc. :
Supervise and prepare Counseling Associates INC (CAI) annual agency budget ($9.7 million). CAI has more than 10 years worth of actual budget numbers, I met with each directors and also in teams to developed an annual agency budget. Since the department budgets closely related to one another, we meet on a regular basis for a month resulting an annual agency budget with a single digit margin of plus/minus error Supervise 10 Financial Services Department and Information System staff members. I meet with these 10 staff members everyday in our daily morning meeting to discuss billing, payroll, expense, IT issues. I update the CEO on all major issues and plan of actions on a daily basis. Prepare work papers as needed for annual agency audit. I worked with the independent audit company auditors to provide necessary information for a successful audit for example: profit and loss report, tax return statements, and capital budget report. Oversee the preparation of monthly financial statements and monthly management financial books. I work with all the department directors to ensure accurate monthly financial report. All expenses including payroll is approved and counted for by each directors. The monthly financial reports were presented to the CEO for approval before presented to the CAI Board of Directors. The financial reports were also presented to the directors in the monthly administration meeting. Approve monthly financial books and reports. I meet at the last business day of the month to inform and update the CEO. With the CEO approval, the reports will be distributed. Review cash balances daily. I meet daily with the financial supervisor to reconcile the daily cash balance which includes deposits and withdraws. I report daily to the CEO on the agency daily cash balance. Approve the release of checks. I update the CEO daily on the checks that were approved and released by me. Responsible for Financial Department (billing, revenue projections, account receivable, account payable, and payroll) and Human Resources Departments (policies/procedures, employee benefits, 401K, and State/Federal Tax). I meet with the financial department supervisor and the Human Resources department director twice a month to review the agency HR policies and financial policies, changes or improvement to the policies it presented to the CEO for approval.
