Daily Duties at A.M. Haire:

Jim Helms was my boss and the Purchasing Manager. He had worked for Morgan Truck Body for 15 years.He was a great leader. Jim reported to Darrell Haire/Owner and President of the Company. Jim took care of "A and B". I had a breakdown of commodities we consider to be A,B,C,and D, A and B are the high end commodities and C and D are the less expensive commmodities. C and D have an average Cost Budget of 3 million. A and D are close to 10M. I had to learn the Visual System again for placement of my part categories.. There are a total of 980 parts broken down into 15 Part Categories using Sequential Part Numbers. C and D had 422 parts. I had to learn these parts on my own time because of day to day work loads. Physical inventories had to be reviewed everyday and minimum and maximum quantities was not set up in the system. Therefore, weekly production reports were studied and I had to start doing a Master Planning Report which dictated the part #/Description/Qty on hand/but not qty usage per vehicle. I started Calculating every part before I made a purchase from the vendor on file. This help me to know what I was buying and how long it would last with the lead time of the vendor taken into strong consideration. There are different inventory turn cycles for different parts which highly depends on usage/lead times/ and freight cost with terms of payment to vendor. I was always looking for the right supplier that was a true fit for our operational needs. A partner who would get the production their Just In Time because warehouse space was tight as well as packaging the product quantitatively. Always creating bidding processes and reviewing quotes and Company Profiles to see who were honest and willing to give not only the best price, but great quality and shipping rates. I built a lot of shipping cost into the cost of the product and had it itemized on all purchase orders and invoices. This in turn was be consistent for the term of the contract. Maintained records of all purchases/cost savings/freight allowances/tax laws/with conditions of product once they arrive. Smaller items on the "D" list were credit card purchases being shipped UPS/FedX or if local, Transportation Department would pick these parts up for us. Visited all my major Vendors and the production facilities/ Attended trade show to learn more about the new industry trends being offered in the Van body business. Created Bill Of Materials for large quantity truck purchases that exceeded 50 bodies and all units were the same. Quanitites needed for completion of units were calculated and placed on blanket orders for shipments from the Vendors. Samples of my work are available. Purchase orders were linked to the Bill of Material for the President/My Manager/Operations/Engineering/and the Materials Team who always need to know what they are expecting to be delivered each day. Understanding the time and machinery for deliveries to be unloaded was a key process as well. Shipping and Receiving is only as good as the awareness they receive when shipments are due to arrive.
