- Manage receivables of Crowne Plaza and Holiday Inn - Maintain and comply with the hotels policies and procedures - Minimize hotel bad debts and write off. for over 5 years, bad debts of both hotels is less than 3% - Respond to guest inquiries accurately - Post city ledger payments by cash, credit card, money transfer, check, or wire transfer. - Edit contract in order to know contract terms and have accurate invoices - Make sure all conditions in the contract comply the company policies - Make sure the conditions are met (payment received) before guest check in. - Before sending invoice out, review charges with Sales manager in order to have accurate invoice. - Research credit card chargeback and provide support document to the Merchant service company. - Direct bill account is approved by credit committee based on my research on the guest (credit references) and my recommendations. - Do collection call - Do courtesy call 3 days after invoice is out to make sure that it was receive and there is no dispute. - Check all opened accounts by different department to get clarification. - Request impress check from Corporate office when needed for guest refund. - Post any adjustment - Maintain all city ledger accounts with a balance and verify accuracy of all accounts to be direct billing. - Process remaining non direct bill accounts according to departmental standards - Resolve discrepancies with Front Office manager and controller. - Post bad debt, write off and any adjusting entries. - Reconcile prepaid accounts with Advance Deposit reports, Clients Ledger with the detailed Aging reports. Reconcile Aging with Trial Balance. Reconcile Detailed Guest Ledger with Trial Balance. Reconcile daily banquet posting with end of the day Sales revenue report. - Reconcile commission of Third party agency booking - Assist controller during the month ends (bad debt reserve, credit card chargeback reports, commission, compare Trial balance with Aging, Advance deposit, and guest in house ledger) - Prepare weekly report for the next 10 days events - Prepare weekly report hotels aging and comments on past due invoices to our Corporate office - Assist cash handling. - Assist Accounts Payable (invoice processing) - Work closely with seven Sales managers. - Prepare all documents for Internal Audit (twice a year) - Prepare credit meeting and discuss payment issues for coming functions
