Daily Duties at Gala Creative Group International, Ltd., A Gala Event:
Provide leadership, professional expertise and direction in the design, planning and execution of high-end events and functions for high profile clients in the corporate and private sectors. Source and contract highly qualified venues and vendors including: caterers, music, AV and multi-media, graphics, entertainment, shows, photography, event staff, props, staging and scenic elements, lighting, special effects, audio and video production. Skillfully negotiations with suppliers, vendors and entertainers to ensure competitive pricing with successful outcomes. Identify and facilitate discussions and decisions on issues affecting events ensuring that the client’s priorities and concerns are reflected in their events branding, planning and presentation. Develop and maintain highly professional standards, procedures and best practices in the production of events in keeping with the image and reputation of clients. Serve as central resource for the latest in matters of protocol (e.g., event design and format, client image and branding, etiquette and safety standards to be observed). Introduce ROI methodologies, technologies and metrics to increase the bottom line. Prepare, manage and monitor pre- and post-event budgets, costs of production, technical and promotional needs. Receive and make recommendations on sponsorship program content, development and fulfillment. Recruit and facilitate event management and coordination including the briefing and wrangling of celebrities, speakers/presenters, staff and security, as well as the development of event timelines and program agendas. Provide leadership and direction in the implementation of event production details, with emphasis on high standards in client relations, protocol, and etiquette with attention to details. Ensure appropriate branding of client events in all related invitations, correspondence, programs and collateral. Development and utilization of standardized systems and technologies in partnership with key staff and event partners. Develop cutting-edge special effects such as environmental scenting, wireless video centerpieces, confetti and feather launches and indoor pyrotechnics, etc. Prepare pre- and post-event analysis, assess opportunities and make recommendations to improve service both internally and externally, and implement those improvements as appropriate.
