Daily Duties at Johns Hopkins Univ/Applied Physics Laboratory:

I reviewed all the incoming invoices submitted to the Construction Office by various vendors for payment. First, I had to verify that all rates agreed upon in the Contract were used correctly and if not, the invoices were returned to the vendors for correction. On occasion, I had to assist the vendor on how to properly prepare the invoice. On larger dollar amount invoices, I would send the vendor an e-mail when payment was deposited into their account. This was done only upon the request of the vendor. I also created an EXCEL spreadsheet for each vendor showing the amount/date of the invoice received and when it was paid. This allowed me to determine the remaining balance left on the contract and when to alert the contract representative to add additional funding. Once the invoices were paid, I would notify the appropriate fiscal representative for that vendor. This notification was done upon the fiscal representative’s request in order for them to keep track of their spending. I had to maintain an EXCEL spreadsheet of all the Construction Contracts that had been awarded: from the time the RFP was issued until the Contract was awarded. Once the Contract became inactive, I used the financial system to decommit any unused funds which then would be returned to the Government. I also maintained an up to date log containing the Certificate of Liability Insurance for each active Construction Contract. I was required to attend some of the meetings between Contractors and APL Representatives and take notes. I later transcribed the notes and forwarded them to the lead APL Representative.
