Daily Duties at Federal Transit Administration:
Manages all aspects of the FTA automated database correspondence tracking system. Tracks the progress of all correspondence designated for the signature of the Administrator/Deputy Administrator Assists in contacting and reminding the responsible staff member as the response deadline approaches. Provides Associate and Deputy Administrators with a weekly list of correspondence that is due by established deadlines as well as those that are past due. Works closely with correspondence expediters to work out solutions, answer questions related to preparation and coordination of correspondence and remind them of appropriate deadlines. Reviews correspondence packages submitted by FTA Associate Administrator offices to ensure they are properly assembled and are checked for grammar, typos, proper clearances, incorporation of latest edits and that all enclosures are included. Rewrites or coordinates rewrites with FTA program offices in case where a major revision is required, coordinates with Counsel, Intergovernmental Affairs, Policy and the Offices of the Executive Secretariat. Maintains constant communication regarding correspondence policies and procedures, due date extensions, changes in signature levels and clearance documents. Exercises tact and professionalism when communicating with TCA staff and FTA employees in both oral and written communications and in meetings. Ensures that grid sign off sheet contains concurrence at the Associate Administrator or Deputy Associate Administrator level. Establishes and maintains collaborative and cooperative working relationships with internal and external personnel and customers. Demonstrates initiative towards completion of work activities. Meets Associate and Deputy Administrator's expectations for quality and timeliness of written materials showing attention to detail by carefully checking over work assignments to minimize errors.
