Daily Duties at Hackensack University Medical Center:
Maintain highest level of confidentiality with respect to the office of the Executive; interact with internal and external executives, department heads, assistants and clients; schedule appointments, meetings and conferences using computerized scheduling system; professionally answer and direct telephone calls using screening process, record messages and deliver to appropriate personnel; maintain executive’s contact lists; coordinate domestic and international travel arrangements, including airline and hotel reservations, and car service; process check requests, prepare and process travel and expense reports; develop and maintain effective business contacts with vendors and services; assist in the preparation of presentation and board materials, as required; maintain executive’s calendar and email; prepare correspondence, memos, reports and presentation materials; provide complex support and project coordination; complete assigned work without delay; update executive about appointments, informing him/her of conflicts and determining priorities; coordinate special projects, as instructed; review and distribute daily mail to appropriate personnel; order office supplies and maintain inventory; rely on experience and judgment to plan and accomplish goals; understand the scope and content of ongoing initiatives and programs within the organization; develop and maintain a confidential, centralized filing system; assist with special projects, assignments and reports; provide a wide range of administrative support related tasks to the Executive.
