Daily Duties at The National Academies:
• Created annual budget for general cost center and representation and staff development cost centers. Track finances for all office expenditures. Process cost transfers, invoice vouchers, petty cash vouchers, travel expense reports, purchase orders, and deposits as needed. Reconcile Diners Club account. • Generated monthly liaison reports. Drafts email to liaisons. Manage and disseminate responses from the liaisons. Track the liaison suggested reviewers in a database and utilizes the data to prepare annual liaison summary. • Assisted in the management and creation of the new RRC Database with ITS and RRC. • Administered the RRC intranet site by continuously reviewing and updating content. • Managed the distribution of RRC guidelines and confidentiality labels. Update language and layout of guidelines brochures as needed. Work with NAP to produce more of each as needed. • Serving as main contact and providing customer service and travel to 400 travel coordinators, main accounting office and all travel vendors (airlines, hotels, limousine and car rental agencies) offering accounting and travel expertise, and quality assurance for billing reconciliations, travel events, and committee activities using a understanding of cost centers and transferring money from different pools of budget in various departments. • Developing and managing travel website, intranet and internet, as a resource tool for any travel related conference on more than a thousand complex projects within The National Academies. • Contributed to newly developed Travel Office in evaluating, developing, negotiating and managing all contracts and day-to-day operations with travel vendors on behalf of The National Academies. • Managing the Travel Office Budget in allocating, reporting and reconciling all reports of salaries, training fees, office expenses, travel costs, etc. • Advised and trained staff on The National Academies’ policies and procedures. • Managed databases and meetings on more than one hundred complex projects within the Cooperative Research Program (CRP). • Contributed as Special Project/Future Strategic Highway Research Program (F-SHRP) team member in evaluating and developing a proposal to Congress for future funding in the research of transportation. • Served as liaison and provided customer service to committee members and senior program officers offering general support for committee activities. • Coordinated conference planning activities; supervising, mentoring, and training other program assistants and temporary employees; and assign work.
