Daily Duties at Republic Family Of Companies:

The largest responsibility was preparing GAAP and tax financial statements for the investors, partners and senior executives for 53 different entities that fall beneath the umbrella of the Republic Family of Companies with loans in excess of $187MM. Administered & maintained the companies' corporate insurances, loans, accounts payable/receivable, biweekly payroll, prepared annual budgets for all 53 entities and reported variances quarterly, tax planning and coordinated the audits and tax filings for 53 entities while supervising a staff of 10 employees. See below for more detail. The loan maintenance for each entity entailed working with the bank officer to prepare a loan budget. Each month, when the invoices were in, I would prepare a draw package to go to the bank for funding. This entailed copying all the invoices in for payment and then categorizing the invoices into the budget categories on a spreadsheet. Once the draw was approved by the bank, the funding would come in and I would instruct the AP clerk to pay only the invoices selected by the bank for payment. The advance from the bank would have to be posted in the accounting ledgers along with the fees. In the beginning, I was the only accounting person with the CEO and I took care of all the back office requirements until we hired more people to help with the accounts payable and receivable. I had signature on all bank accounts and wired and transferred money as needed. The biweekly payroll that I had set up entailed retrieving timesheets from all the employees, entering into the web-based payroll system their regular time, vacation time and sick time. The entire payroll then needed to be allocated and posted into the various entities' ledgers. I also made sure the 401K payments were made, as well. We had a payroll service that handled the taxes and tax forms. Accounting (making all the transactions in all the ledgers on a daily basis), prepare financial statements monthly, report to the partners quarterly, coordinate the company's audit and tax filings for all entities, maintain the corporate insurances (work with the broker annually to find the general liability and builders' risk policies, workers compensation policy, health insurance policies, life insurance policies, long term disability policies), prepare and manage employee benefit packages-(by puchasing the insurance policies and managing the payment, finding the 401K plan, establishing it, and reporting annually to stay in compliance, purchasing the life insurance policies, and managing vacation and sick days for the employees) establish policies and procedures, write employee manuals, job-costing and reporting, budget preparation annually for all entities and variance reporting quarterly, cash flow projections monthly, loan administration (work with the bank to establish a loan budget, prepare monthly draw packages to go to the bank with the loan budget and copies of all the invoices categorized within the budget, then when the money is funded instructing AP to pay only the invoices drawn), tax planning. Prepare biweekly payroll. Partner with management to ensure the company's success.
