Daily Duties at Lile North American Van Lines:

Preparing paperwork packets for work crews of two, three, four or more individuals for local moves, business moves, intrastate moves, interstate moves, as well as international moves as well. Also was responsible for preparation of paperwork packets for jobs coming into our storage facility which comprised of non-temp storage for household goods of our service men and service women, permanent storage of household goods of regular customers and business customers. Maintaining and organzing of daily files for a wide range of moves. Also was responsible for once paperwork was returned by crews to process the revenue and submit appropriate paperwork to the corporate office, as well as organizing the file a specific way. Answered a multi-line phone which consisted of five lines and an intercom and directed calls to various departments that ranged from management, to operations manager(dispatch), as well as warehouseman. Data entry of various types of correspondence: which consisted of letters, estimates, proposals, inputting of customer's information into storage locator system. Also performed data entry in the preparation of customer's invoices as well as activity and aging reports as well. Prepared bills of lading for various types of jobs as well. Military paperwork packets put together for moves for household goods of our service men and service women going into our non-temp storage or storage in transit as well as going intrastate, interstate, and internationally. Following office procedures to make sure that the base is faxed right away with paperwork that is required under a tight deadline. Making sure that the appropriate paperwork gets to my corporate office for billing. And make sure that the file is meeting the structures that have been passed onto me by office manager. Making sure that all storage entered into the inventory locator is accounted for, make sure if the shipment is being delivered out to take it out of the system. And also making sure that when shipments are coming into the system that it is put in on a timely basis, and that the warehouseman gets the appropriate paperwork to place on storage vaults as well as overstuffed furniture, and miscellaneous as well. And also, that I keep a inventory locator card as well as a copy of the vault tag as well. Responsible for running business weight scale for the weighing of semis, pickup trucks, trailers, vehicles, as well as open trailers. Also was responsible for scheduling appointments for military walkthroughs of upcoming moves of service member's household goods that were coming into storage or being shipped across the state, the country, and also internationally-and making sure that the data got back to the carrier on this so they can contact the base of the estimated weight, any progear, shuttles, and any other accessorials that would come up. Also responsible for managing the calendar for the branch as well as the operations manager on a daily basis. Inputting data into the computer for North American interstate shipments, preparation of gathering necessary paperwork and using Oki-data system to print out paperwork, also put computerized insturctions for the driver as well as our crew members which sometimes consisted of two, three, four or more individuals as well. Paperwork for this job was also highlighted to make it easier for our crew as well as the customer to understand what he or she needed to complete. Processing of this paperwork when it was returned to us, making sure that a revenue batch sheet, as well as a revenue distribution sheet, along with the necessary paperwork went into our coporate office as well. Bank deposits and deposit batch sheets were filled out and the necessary backup of copies of bills of lading,along with copies of bills and copies of checks was sent to corporate as well as a copy of the bank deposit along with a copy of the original receipt. Also maintained a separate file of the bank deposits so we would have the copy of the deposit, copy of the receipt, the deposit batch copy, as well as all the appropriate backup paperwork that was set aside. Responsible for distributing the mail that came in on a daily basis from my corporate office to the appropriate person, as well as making sure all the mail going out was placed in the overnight mail pouch and ready to go by a certain time in the day.
