Daily Duties at Zwill Gen Pllc:
Blended Admin Assistant/Receptionist duties. Reception duties include answering phone lines, greeting visitors as well as vendors and service providers, sorting and distributing mail and packages, making catering arrangments, performing other office errands. Also asked to perform admin duties such as managing firm files, completing time entry, prepping expense reports, coordinating and scheduling travel, office purchasing and making deposits. Additionally, the position will include providing general assistance and support to partners of the firm in administering both firm business and related professional and personal responsibilities. Tasks performed under the directon of the partners and the Office Director. - In charge of opening office - turn on lights, stock cabinets with snacks, turn on AC - Daily tasks include: • In charge of grreeting people at the door, answering the phone, directing all calls, transferring to voicemail, taking messages, sending out correspondence for people, etc. • Preparing, sending all fedex, Ups, usps, and mail as well as tracking it in a chart that I maintain • Time entry for the 5 attorneys I support as well as any other assistance they need which includes preparing for a production, editing briefs, editing blogs, reformatting letters to go out to clients, bates labeling documents, creating tables of authority and tables of contents for briefs, researching and creating profiles on potential clients to hand to attorneys for review • Make travel plans for attorneys • Do expense reports for attorneys • In charge of social media/blog - create weekly blog schedule for attorneys - do final edits on blog and post onto our ZwillGen blog as well as send it out over our twitter and Facebook as well • In charge of maintaining our mailchimp account/mailings - add new clients to mailing list daily as well as in charge of pushing out firm updates over Mailchimp • I print time reports every Tuesday that track how much time has been entered by each attorney for the respective month and hand it to the owner of the firm - I then maintain a chart that shows on a scale from 1-3 how successful they were in entering time. This chart will be used in the future to track overall time entry success which will be used to award prizes and incentive at the end of the year • Do a lot of work in prolaw which means running occasional conflict checks, entering new matters and clients into the system, working with Thomson Reuters/ProLaw to create new reports and queries to run in our system • Occasionally in charge of branding and logo design - right now I am in the process of having a sign created for our new downstairs space that we have recently acquired. Also was in charge of purchasing sound solutions and artwork for the conference room as well as frames/pictures for the walls over time. • In charge of our Pitney Bowes postage system - I am the one who puts postage on all of the mail as well as the person who refills the ink and tends to any issues we have with the system or the machine • Assist in filing court documents \ • In charge of ordering lunch for Monday Meetings • In charge of ordering from Peapod to keep the cabinets stocked full with snacks and drinks • occasionally in charge of ordering supplies such as printers, copiers, gifts for clients, gifts for attorneys, and other things the office may need • Organize and set-up our bi-weekly in office chair massages • Assisted in the recent hiring process for the 2012 Legal Position, which required reviewing resumes, sorting them into categories, creating folders and files for the attorneys to review, as well as calling candidates' references • Edit powerpoints for presentations • Assist in the set-up of webex conference for attorney-client meetings • Set up the conference room for all meetings, which includes purchasing lunch, setting up note pads, pens, pencils, drinks, and occasionally a projector and screen for presentations • Edited an reformatted the employee handbook • Update a weekly business development chart for the Monday Meetings in which new clients and new business development obtained are presented to the firm • Edit attorney bios for conferences and events that they attend • Keep in contact with your branding/logo company to maintain blog, social media, and branding both inside and outside office (with regards to brochures, business cards, logos, etc.) • Keep in contact with vendors that provide services to us - the face of the company sometimes • Created a chart that tracked how much our business has increased in the year that I have worked (attached) as well as a chart for geographic breakdown of clients (attached) • In charge of ALL firm events - I am basically the firm event planner o Organized the first firm retreat in 2011 at The Donovan House in Washington DC. I was in charge of finding a conference room space, organizing the set-up of all equipment and of the room itself, organizing lunch for 12 people (the entire firm), and making sure that we had the necessary supplies (paper, pens, clip boards, projector, lap top, etc.) that would be needed to run the meeting. I was the point of contact and was in direct contact with the events person at the Donovan House. I also planned a private event at Urbana to follow the event o Organized the second firm retreat in March of 2012 in Philadelphia. This was a weekend trip so I was in charge of making all hotel reservations and travel plans to get everyone to Philadelphia. In addition, I was in direct contact with the events person at the hotel to organize a 2-day conference in one of their board rooms. This involved my setting up projector/screen, making sure the hotel provided us with proper supplies, as well as organized lunch for both days in the conference room in addition to coffee/tea/snack breaks. I was also in charge of creating an itinerary for extracurricular activities which included a private dining event at Morimoto in Philadelphia as well as an event at Lucky Strike post dinner, a trip to reading terminal market as well as a second dinner on the last night in Philadelphia. I was in charge of keeping all receipts and keeping a binder of information about the entire retreat weekend. Was able to renegotiate contract to get up to $100 dollars off room rates as well as additional menu options for dinner at Morimoto. o Organized 2012 Summer Laser Tag outing o Organized the 2011 ZwillGen PLLC Alumni Cocktail Party in December of 2011 for about 30 people which involved planning with the Sonoma Wine Bar events planner to assist in choosing food and drink options. I also created the invitations to be send out to all clients as well as sent out the invitations and maintained and RSVP list. I also assisted in ordering firm umbrellas and t-shirts to be handed out to those who attended. I was in charge of running the event including initial set-up before guests arrived as well as clean-up after the event was over. o Organized the Zwillgen "Privacy and security; THe Year in Review" CLE course which was presented by both our firm and by Guidepost Solutions LLC in July of 2012. This involved editing the powerpoints that were to be used in the CLE, working with my contact at Guidepost to make sure all accommodations were made in the NY office where the CLE was to be held, created invitations, sent them out and maintained an RSVP list with final count for the event, organized lunch to be provided, made sure all supplies, t-shirts, brochures, etc where at the NY location for the attendees. o Organized all Farewell Celebrations at Birch and Barley/Churchkey, BlackJack etc, working with restaurant managers, event planners to work out the best deals/discounts for our firm, as well as making sure all food and beverage will be provided o I am also in charge of basically any event our firm does - whether that means casual lunches or cocktail events, in office happy hours, wine events, etc.
