Daily Duties at Pacific Architects And Engineers, Inc.:

I was hired for a new start-up program for Pacific Architects and Engineers, Inc. (PAE) in the ground transportation industry. PAE won a $20M U.S. Army transportation contract to move military assets out of Iraq and redistribute assets for repair or a new location. Initially, I was responsible for identifying the number of personnel required, writing job descriptions for the identified positions, was the hiring manager for the senior positions, identifying office space and office equipment needed (such as computers, software and any special hardware requirements, printers, internet, phones), desks, chairs, office supplies, safety equipment (such as high visibility vests, gloves, safety glasses/goggles, shoes, safety cones/stanchions, reflective tape), identify and purchase transportation needed for senior managers, rent accommodations for senior managers, identify badging requirements needed for all personnel and vehicles and establish procedures to obtain badges, meet with the subcontractor teaming partner who will supply trucks, trailers, drivers, and general labor force to establish the requirements and procedures needed for the success of our awarded U.S. Army contract, establish an organization chart, establish a work schedule, writing a driver’s training plan and quality plan, and identify and establish a monthly budget. I accomplished this 90 day task in 75 days. Once we were ready for business, I was responsible for: Daily • ensured that the daily transportation orders were accomplished on time (we received daily task orders at 6:00 pm that identified show time and location for the next day’s operations • review Q/C reports from daily vehicle inspections (contract required that each vehicle to be inspected ensuring all the requirements on the military provided checklist were available or functional prior to task order show time) • review vehicle maintenance and in-commission rates (contract required 100% Fully Mission Capable status of assets at all times) • review safety and incident reports (the reports identified safety violations or incidents that identify trends where resources such as retraining or additional support personnel may be needed or reassigned) • review badging report (vehicle registration and personnel residency Visa’s expired annually so it was required to identify what asset or personnel may be out of commission on a particular day to assign a replacement to ensure operational success) Weekly • prepared a weekly activity report (WAR) for PAE Corp office (a WAR contains how many task orders received, how many assets were tasked, vehicle status, quality assessments, safety assessments, a self-assessment on how we met the customer’s requirements/expectations, mention any government meetings or inspections and the outcome of the visit, and business development opportunities) • met with military contracting officers to discuss any upcoming business opportunities and express our abilities to expand our business capabilities for the needs of the military • met with the Defense Contract Management Agency (DCMA) representatives to discuss anything positive or negative issues identified during their inspections to our worksite • met with the subcontractor teaming partner representative to discuss and/or correct any issues identified during the week Monthly • hosted a meeting with the military contracting officer representative assigned to monitor our contract; a power point presentation was prepared to identify the monthly task orders received and were they on-time, how many assets and personnel were in Iraq, vehicle status, badging status and any issues that require attention by PAE or military • validate and approve invoices for services received or programed purchases • validate P&L statement covering equivalent annual cost (EAC) and Earnings before Interest and Taxes (EBIT) with PAE Finance Manager • met with my department Director to discuss new business and program success and failures (prepare a get-well plan (also called Back to Green Plan), if needed); my program stayed green throughout the performance period In addition, I was required to: • secure and negotiate new contracts (business development) • identify new transportation vendors to provide a lower price for services to the military and increase program profits
