Daily Duties at World Projects International:

I was moved into this role because my supervisor felt that I had the skill set necessary to fix a difficult cash flow problem that was interfering with the daily operations of the Yuzhno office. Over the prior quarter, the Yuzhno office had underwent several major changes. First, we had expanded operations, hiring several new employees in the office and in the field and reorganizing several departments. Second, we merged the operations and the billing databases into a single system. Finally, the head of the billing department had left the organization after she was extended an offer by the client. Because of this our accounts receivable had begun to pile up because we were unable to process the paper work as fast and as accurate as necessary. My responsibilities included identifying the major issues and fixing them. My tasks are best described on a weekly schedule. On Mondays, I would meet with the new Billing Head and the three Document Controllers to develop a target list of services to be billed that week. In these meetings, I would also request feed back to identify inefficiencies and redundancies in the billing process. Tuesday and Wednesday, I would work with the 3 staff members to identify missing or erroneous documents and then contact our personnel or subcontractors for the necessary documents to complete the billing package. At the same time, I would double check the packages to make sure that they complied with the stated terms of the contract. On Thursday we would cease document collection and work directly with the Billing Head who would compile like packages into a series of 5 to 10 invoices. On Friday, we would print the invoices and deliver them to the client. My other duties included identifying and anticipating change services that conflicted with current contract terms. These would then be presented to my supervisor and he would work with the client's logistic managers to craft contract modifications that would capture these services. Additionally, I would work with the IT department to reduce data entry inefficiencies and redundancies, thereby reducing the time and number of steps necessary to input data. Finally, I worked closely with the client's contract manager to discuss internal and external procedures in an effort to streamline the payment process and reduce contract disputes.
