Daily Duties at Kinko's / Fed Ex Office:

Activities: Daily Review daily cash receipt/Complete daily Meter reads Count cash, check and Credit card sales Go to bank Review and correct time cards Review security tapes Read and reply to emails/voice mails 3x per day Check Outlook Calendar Review daily reports/Post daily reports SQI numbers, Product of the month, VOC, DFR, Shipping DFR, Pack and Ship, premium sales report, Work force management Complete a job audit/ 5x5 audit Complete a shipping audit Review production schedule Complete customer call backs Review bid report. Call customers with outstanding bids. Review Center sanitation standards. Center Vacuumed, floor mopped, restrooms clean, offices organized, Center dusted, supplies put away, paper loaded in printers, self service area stocked, trash out, shipping boxes and supplies stocked, storage areas clean and organized, retail stocked and fronted Meet with Account Manager. Check paper inventory. Order as needed Meet with vendors/contact vendors regarding equipment or projects Check machine maintenance Call other managers, get updates, review previous day’s performance, get preview of todays, review Center SWOT for the day. Center Visits 2-3 days per week. I spent 12-20 hours/week visiting my other Centers Work the production/sales floor 3-6 hours per day Take orders, make copies, bind, laminate, ship, pack for shipping, work in self-service, answer phones, respond to email or web orders, assist in the computer area, create documents Manage/dispatch drivers Review/complete action items from Weekly Action Checklist/Blue Book Respond to District Manager Requests Respond to customer request/concern Daily meeting with Assistant Managers. Review Center SWOT for the day. Recap previous day. (about 15 min) Weekly: Complete weekly bin dive. Call all customers with jobs in the bin to arrange pick up or delivery and payment. Review the customer deposit report. Verify that the job is still in the in Center. If not, complete the sale and capture the revenue. Inventory and order supplies (non-paper) Review and approve Accounts Receivables Submit time cards to payroll Plan and conduct Core Group meeting 1-2 hour meeting with each Center Manager and Sales representative. Attend District conference call. Review Training Schedule. Check for Team Member compliance and progress on current objectives. Follow up as needed. Review Blue Book/WAC compliance for previous week. Verify completion. Set time table for current week’s objectives. Review staffing plan for the next 60 days. Write schedule for next week. Always had 4 weeks of schedules written and 3 weeks of schedules posted. Meet with the District’s technical specialist to review the Center/ Clusters compliance on technology initiatives, to discuss any technology concerns, to set up technology training or review the technology audit. Establish actions plans for correcting any short comings. Monthly: Download, print, review and implement/conduct: Monthly marketing calendar Blue Book Center SOP Audit Center equipment plan Plan and conduct monthly center meetings Attend the monthly Manager’s meeting led by the district manager Prepare my presentation for that meeting Complete SOP Audits of up to four Centers as a part of the District’s Audit Action Team Conduct my Center’s SOP audit. Complete report and prepare action plan dor addressing all misses. Follow-up on the previous month’s action plans for all centers in the business unit to ensure compliance. Conduct training on writing an effective action plan (as needed.) Review the income Statements for business unit and the individual IS for all Centers in the unit. Address issues and discrepencies, as needed. Review monthly CAS accounts receivable report for customers who hold a FXO credit card. Call customers 90 days out or more. Monthly one- on -one with each manager in the cluster to discuss and evaluate their performance and how I might better my performance as it relates to them and their Center. Join the District Manager on monthly visit of my Center. Complete a walk through using the Center Visit checklist and note any SWOT. Submit an action plan within 3 days of visit to address any problem areas. One visit per month to my Centers was a ‘checklist visit’. Quarterly: Conduct complete inventory of supplies in Center. Conduct Quarterly Business Reviews with Top customers. Present a QBR of my Cluster to the District Sales Manager and District Operations Manager. Update my Managers’ and Specialists’ performance ratings in the Talent Management System. Present my ratings to DM, HRG and Cluster Managers for review. Update as needed. Conduct one-on-ones with each team member in my center. Conduct safety and Security audit using the safety checklist. Correct all failures before the next audit Annually: Write and deliver reviews and input the information in to the Talent management system. Administer Merit increases across the Cluster. Administer the company’s Climate survey to my Team. Review my results with the team. Get feedback and write an action plan to address any shortcomings I may have. Post action plan on survey site and update my progress monthly. Complete Copyright Training. Complete Customer Confidentiality training. Clean and Bright your Center to the new standard Download, print, review and implement the new SOP manuals. As needed Coordinate the removal of or the delivery of equipment to my home Center. Serve as the lead contact for the company on all construction within my Center. Complete assignments for or prepare presentations for company meetings. All other duties as needed or required
