Daily Duties at El Centro De La Raza:
Created Excel daily cash report that began with reconciled beginning cash and added in all payments from grants & donations and subtracted all vendor payments & payroll cash requirmeents inclduing payroll taxes. The report encompassed the entire current month so that not only month to date cash activity could be reported accurately but future cash needs could be projected by adding in future estimated cash deposits and estimated vendor payments and payroll requirements. The end of month cash varied from the bank reconciliation by only 1%. Reviewed AP and made payment recommendations. Updated accounts receible weekly and then updated the schedule of federal awards. Reported any overdue grant payments to appropriate manager for follow up. Downloaded MIP monthly income statements to Excel by both department and contract center by the 15th of the month. Reports were sent to program managers. Any questions were answered, posting errors corrected. Final summarized income statements were emailed to the executive director, deputy director and the board 2 days prior to the board meeting. Presented the financials to the board and answered any questions. Prepared all A133 audit schdules; Schedule of Federal Awards and Expenes; all revenue items; all balance sheet accounts including AP schedules,prepaid assets and debt schedules; signifcant income statmenet schedules including payroll and taxes, insurance expense schedule; depreciation & amortization; maintenance; office supplies; and transportation costs. Worked with auditor to answer any questions and research any questions. Reconcile fund raising revenue records to accounting records. Reconcile property management rent records with accounting records. Prepared ECR Property Management agency HUD billings and reconciled revenue to HUD report. Ran quarterly reports and prepared El Patio property management LLC for annual agreed upon procedures audir for National Equity Fund. Reviewed all Federal, State and local grant files to insure that cost charged to program were in compliance. Computed annual indirect rate with City oF Seattle to create a rate at which to charge administrative costs. Monthly update of occupancy costs-the costs generated by maintenance & security: insurance, utilities and maintenance janitorial payoll. These costs were allocted to progamsn monthly using square footage as the basis. ditpreparation; reports to the board and management; annual budget preparation with managers; cost allocation per Federal guidelines.
