Daily Duties at Government Employees Retirement System Of The Virgin Islands:

Managing administrative affairs including highly confidential matters with integrity and discretion for 7 Board Members -Monthly review, reconcile and manage the Chairman's Corporate Credit Card and created a monthly MS Excel spreadsheet outlining all expenses, incidentals (reimbursed by the System) for Board Chair's records. Additionally, attach supporting receipts to the monthly VISA statement for charges made to the account that forwarded to the Accounting Division for processing credit card payment on a timely manner before each monthly due date. -Supervised, trained and oversee the work of a new employee to the Board Division who provides administrative support to the Board from St. Croix (another district island) and cover in my absence. -Monthly and or weekly coordinate, set-up to conduct business meetings for regular, special, committee, semi-annual investment meetings, and educational conferences which includes ensuring a quorum is established, prepare press release, prepare Agenda,Roll Call, Vote Sheet, Trustee Attendance Sheets and Board meeting folders Prepare annual Board budget per fiscal year for the Chairman and Administrator's review and approval. -Reduce office furniture costs for establishing new office for Board Division by 35% from through business negotiation for office projects -Coordinate all travel arrangements for Board travel related to business meetings or education conferences which includes airfare reservation, hotel accommodation, per diem checks, conferenece registration confirmation. Prepare travel folder with all necesarry travel arrangements for the Trustee guidance which eliminates any uncertainty of travel arrangements that are made. -Update periodically new information on website pertaining to the Board Division for public viewing Prepare memorandums, letters and email responses to members concerns for the Chairman's review and signature. Prepare annual Board meeting callendars for distribution to the Board, Staff & Member viewing and reference. Manage the Board Chair's business calendar to ensure timely response to any member & staff concerns, litigation cases and potential financial investors. -This includes handling meeting requests, scheduling appointments and ensuring a manageable workload. An executive assistant may also perform research prior to meetings, providing background information on the person, the company and the issue. Essentially it is the executive assistant's responsibility to ensure that the executive is briefed on his daily schedule, is adequately prepared for meetings and arrives on time. -handling meeting requests, scheduling appointments and ensuring a manageable workload daily.
