Daily Duties at Pioneer Fleet Service:

Prioritize and schedule the daily service and repairs to be preformed. Generate work orders Determine the parts required for each job. Authorize the ordering of necessary parts and or generate purchase orders. Place the order of required parts Receive delivery of parts and review the invoice to assure accuracy. Post the parts invoice to AP and receive parts to work orders or stock. Follow up with parts vendors as to delivery times. Answer incoming phone calls for parts and service. Dispatch road service as needed. Perform weekly inspections of service trucks and inventory. Greet all walk in customers. Perform retail counter sales, generate sales invoices and receive payment. Generate service and repair estimates including labor and parts. Submit service and repair estimates to customers. Negotiate and explain estimates to customers and schedule service. Review all clients equipment data base to schedule service by mileage or date. Notify clients and schedule pm/bit service. Review all clients equipment data base to schedule predetermined repairs. Notify clients and schedule predetermined repairs. Open new invoices and parts PO’s for scheduled services and repairs. Review and notify clients of necessary follow up work that was discover in prior services. Schedule follow up repairs, open work orders and create PO’s. Notify customer of necessary repairs discovered during vehicle inspection, advice the customer of the priority level of said repair. Generate an estimate for additional repairs including parts and labor. Up-sale and perform or schedule additional repairs. Meet with parts vendors and perform parts stock check. Generate PO and replenish parts on a weekly basis or as needed. Meet with the company owner to review work load. Submit reports for over all labor and parts sales. Meet with AR and review customer payment issues, contact slow paying customers and negotiate payment. Review and approve P&L’s Review workload and maintain two weeks of scheduled repairs. Contact and meet with new customers and develop new business as needed. Maintain customer relationships and perform daily PR. Meet with fleet operations managers weekly to review our performance and discuss invoice or performance concerns. Inspect and insure shop safety standards. Review completed work and work orders prior to releasing the vehicle to the customer. Complete all work orders for work performed and post to AR. Assure that all labor and parts are accounted for. Answer after hour’s service call requests and dispatch road service as needed.
