Daily Duties at Hospital For Special Surgery:

Support AVP in daily functions including maintaining calendar, receive telephone calls and screen all calls, set-up meetings and assist in the day-to-day management and operations of the office. Assist 10 managers, supporting 75 staff, with daily tasks, such as: new hiring procedures, screening of candidates for various positions and coordinating interviews. Process employees requisition, personnel changes, W-4 forms, tuition reimbursement forms and employee benefits forms for the department. Assist in the Family Medical Leave Act (FMLA) documentation for employees to ensure process is completed accurately. Maintain employee files, including performance evaluation, disciplinary action, medical notes and salary increase forms. Collect employee timesheets from supervisors each week and prepare payroll on the Interface payroll system and KRONOS. Assist in handling employee recognition program on monthly basis. Monitor budget activities and prepare monthly budget reports and cash receipt reports in MS Excel for distribution to senior managers, international payments within the hospital and the coding of ambassador (VIP patients) patients in the patient computer system. Collaborate with various departments, including telecommunication, IT, Material Management and Accounts Payable looking for ways to create efficiencies and cost savings. Exercise superior customer service when interacting by phone and investigating patient complaints, reviewing patients’ explanation of benefits (EOBs) for reconciling or correction on Receivable Edge and Eagle 2000XP. Utilize initiative and problem solving skills to improve work environment, for example: broken furniture, supplies and payroll issues. Enter note codes and flag patient status by entering patient codes/notes in the EAGLE system from a monthly management report. Process patient refund forms for physicians and patient reimbursement checks. Order approximately $3,000 of supplies each month via Corporate Express website and distribute to the supervisors. Attend meetings (GALLUP, Employee Engagement Committees and Learning Development) to enhance employee engagement and satisfaction. Maintain departmental reference manual and policies and procedure book for the department. On a monthly basis forward staff E-Learning (on-line in-service program) via intra-internet, and follow up with supervisors on a quarterly basis regarding completion of training.
