Daily Duties at Mule Creek State Prison (Friends Outside):

PROGRAM / ADMINISTRATIVE SUPPORT: Identify personnel and material resources required to support Visitor Center program. Recruit and train Children’s Activities Coordinator and Transportation Coordinator (Van Driver); ensure staffing levels are in compliance with established contracts, and that there are sufficient on-call personnel to cover absences. Maintain current inventory of necessary supplies: conduct weekly inventory to prevent shortages; replenish supplies on a monthly basis; procure supplies from local vendors whenever possible and coordinate timely delivery. Provide assistance to Children’s Activities Coordinator as needed, including supervision of small children, children’s activities and maintenance of children’s play areas. Work independently to accomplish program/administrative tasks and effectively meet all deadlines. FINANCIAL MANAGEMENT / REPORTING: Monitor, track and analyze expenditures, and prepare required supporting documentation. Develop and maintain accurate and complete fiscal reports; review financial data to ensure all reports accurately reflect account balances; submit on time. RECORDS MANAGEMENT: Maintain accurate records and statistics regarding Visitor Center program and employees. Supervise and oversee staff record keeping regarding childcare and transportation. Ensure content and maintenance of records complies with institution policies and regulations. ANALYSIS AND EVALUATION: Research, analyze and evaluate program and activities to make sure Visitor Center is meeting its established goals and objectives; evaluate services on a daily basis to ensure adherence to operations manual. Gather, compile and analyze data, identify deficiencies in program efficiency and effectiveness; develop recommendations and implement program improvements. REGULATIONS, REQUIREMENTS AND POLICIES: Review, interpret and apply knowledge and understanding of Operations Manual to program services and activities; use established policy to resolve any issues/concerns. Determine applicability and effect of new or changed policies and procedures on program operations. Adhere to state, local and institution requirements regarding health and safety of Visitor Center clients and staff, participating directly in any and all activities related to safety and security. ORAL COMMUNICATIONS: Participate with other Visitor Center employees to maintain clean, neat and appropriate work environment; communicate critical policy and program decisions; promote team approach to problem solving and program management. Attend scheduled quarterly meetings for contractors at the institution and participate in any other institutional meetings as required. Conduct public presentations regarding Visitor Center programs to promote program goals and priorities. Consistently communicate and treat others in a courteous, tactful and respectful manner. WRITTEN COMMUNICATIONS: Develop and prepare concise and clear written documents which include recurring and non-recurring reports, letters, memoranda, and responses and recommendations to inquiries for institution officials, managers, staff and other personnel. Compile data and create reports and presentations using Microsoft Office Suite products including Word, Excel, PowerPoint and Access. Use electronic mail system to prepare, distribute and respond to critical correspondence.
