Daily Duties at Jones Day Law Firm:
Support the Director of IT, his 6 Associate Directors and their subordinate managers and teams totaling about 125 people. • Responsible for all general office work including filing, faxing, scanning, phones, photocopying, maintaining calendars, screening calls, tracking inventory of office supplies, processing expense reports, and generating requisitions and purchase invoices for supplies and equipment. • Scheduled meetings (both locally and internationally), interviews, holiday events, and make travel arrangements for Associate Directors, Managers, and their subordinates. • Attend group staff meetings, take meeting minutes, and distribute to the appropriate group(s). • Have a high level of confidentiality, organizational skills, and have the ability to meet all deadlines. • Organize annual Director and CIO meetings both locally and internationally • Organize and gather materials for annual Tech Committee meetings located in North America • Organize events for individual teams (office events, luncheons, employee gatherings) • Invoice tracking and verification for software • Create Sharepoint web-sites for individual groups • Create and recorded WebEx sessions for meetings (locally and internationally) • Maintaine TSS Organizational charts, headcounts, distribution lists, and phone lists • Create training schedules for new hires (locally and internationally) • Weekly and / or monthly report distribution • Create surveys and summarized results • Support staff in assigned project‐based work. • Relieve management of administrative detail, all projects
