Daily Duties at Drilex Environmental, Inc.:
Provide direct executive support to the Vice President, Human Resource Generalist and several project managers while supervising seventeen direct reports. Oversee all aspects of general office management growing from a divisional staff of three to nineteen during tenure. Act as gatekeeper of all inbound correspondence; answer multi-line telephone system, manage flow of and follow up to mailings, email and other correspondence. Utilize judgment and knowledge of position to draft appropriate response and, as needed, oversee disbursement of communications to executives. Organize details of special events, travel arrangements, meetings and corporate agendas for multiple busy executives. Maintain complex schedules and calendars for multiple executives as well as for fourteen field personnel. Facilitate the accurate and timely writing, editing, proofreading and preparation of final copy from draft to distribution. Act as electronic records management coordinator for department. Managed conversion of all paper records to electronic systems including creation, maintenance and administration of spreadsheets and database records Manage departmental financial transactions, oversee accounts payable / receivable activities, monitor and reconcile AMEX accounts, travel expenses and general purchases for department. Review and code expense reports for submission to accounting personnel. Research and oversee major capital acquisitions, direct vendor relations. Maintain and order office supplies, manage said budget. Direct client outreach and networking activities, working closely with marketing department to generate leads and promotional literature, devise appropriate marketing strategies and techniques. Provide and facilitate new employee orientation, oversee annual vacation records and process payroll for nineteen departmental employees.
