- Managed Sr. VP’s calendar, travel arrangements, reporting the status of insurance policies, possible prospects or clients. - Gene traveled many times a month. - Organized and prioritized follow up documents and files. - Produced PowerPoint presentations and Excel spreadsheets for organizational meetings to the executive officers. - Developed and organized the “confidential” Tactical Implementation Program. - Reported weekly to team chairmen the number of tactics outstanding and their progress, status of completion. - Worked with all the responsible teams covering the 49 tactical initiatives. - Reported monthly to the executive officers, chairmen and team members the overall status of the tactics. - Communication, verbal and written. with the underwriters was essential for this project. - Processed expense reports for 20+ underwriters authorizing refunds up to twenty thousand dollars. The underwriters and staff traveled more than they were in the office. - Expenses were due at the end of the month so the accounting department could close the month. If there were opened expenses unreported, I would take responsibility to talk to the underwriter working up a estimate. I would update accounting regarding the open issues and give them the names and estimate of expenses for the month. When the expense report came in adjustments were made to balance the month. - Closing quarterly and years-end was crucial, I would assist accounting to provide any assistance they needed to meet their deadline. - Assisted underwriters with proposal development organized layout, and prepared content, copied, & distributed to the company officers, executives, and team members. Thirty-nine proposals were created and bound. After they reviewed the preliminary version; changes, additional information, attachments were added; then process was repeated. I would support the underwriters as necessary to meet their deadlines. - copied documents, scanning, routed information as requested. - Daily delivered the Wall Street Journal to company officers and executives. - Supported the Business Development Department with organizing, planning, setting up, and cleaning up company events and business meetings. - Gathered data through corporate database for 13 top states creating over 300 spreadsheets each quarter. - Greeted customers and brokers taking them to the conference room for their meeting.
