Daily Duties at Diversified Maintenance Systems:
General Information DMS is a woman owned construction company specializing in federal contracts. Over the time I have been employed there the company has grown exponentially. This has afforded me an unusual opportunity to be involved in many different facets of the company. I started as a part time accounting clerk and within a month was promoted to accounts payable coordinator. From there I added to my job title and became AP Manager, Contract Administrator (which includes AR, AP, and contract tracking and administration for federal government projects), Human Resource Assistant (which included benefits administration and tracking), General bookkeeper for two different side companies and Assistant to the Controller. *Assistant to Controller* As the assistant to the Controller, I have done the bank reconciliations for several different companies and joint ventures. Monthly, I apply division overhead to jobs; make the necessary adjustments to close the month and bill joint ventures/companies for management and reimbursement costs. I assist with year-end adjustments and reports. I audit jobs and prepare reports for the controller and owner. I review and post the AP and AR transactions from the job sites. *Accounts Payable Manager* I am responsible for preparing and sending out bi-weekly check runs. We pay according to the FARS act and I have done over/under billing analysis to determine what percentage is needed to pay the subcontractors by what date. I collect reports from all of the job sites and compile them into one report that the owner and I go over to determine which vendors get paid. I have had to track that all required documentation was in and approved before payments were made and I needed to track payment terms for suppliers and other general and administrative costs to make sure that all payments were made with in those terms and discounts available were taken. I have had to do job cost tracking and entering and have become very familiar with several different accounting programs. Each month, I also reconcile the credit card statements, track expense reports and locate receipts (when necessary). I audit the AP files and make sure that each Contract Administrator is entering their invoices in a timely manner. *Contract Administrator* I have been doing the overall tracking and billing for an average of 15 federal contracts at any given time. These contracts range from $25,000 to $2.5 million a piece. I make sure that the government receives all the paperwork they require on or before their required deadline and that the subcontractors receive and send back all the required paperwork from my company. I work closely with the project managers to ensure that the appropriate dollar amount has been billed and that all jobs are progressing as scheduled. I track the payment status and make the appropriate calls when billings are past due. *Bookkeeper* I have been doing the books for two side companies. I do the quarterly sales tax returns, enter in all expenses, pay all bills, enter all receivables and make deposits. I reconcile the bank statement and prepare the reports for the owner to take to her tax accountant yearly. *Human Resources* I have been asked to assist Human Resources. I sent out all the payroll documents the government needs, sent out all the benefits enrollment forms and answered employee questions regarding their benefits. I did a monthly audit of the benefit statements to make sure the correct deductions are being taken out of employees’ checks; all employees who have been terminated have been removed from the various benefits package. I sent out new hire packets, received and audited them, scheduled drug tests, sent out termination packets, received and audited them and sent out Cobra information. I have done what ever task has been needed and have set up policies and procedures for each task to ensure that things are done correctly and efficiently and are within all legal requirements.
