Daily Duties at Le Meridien Ibom Hotel& Golf Resort:

Job description PRIMARY PURPOSE OF ROLE • Manage the day-to-day running and administration of the Executive offices of the General Manager. DUTIES & RESPONSIBILITIES • Provide coverage of telephones, open sort and distribute mail, complete timesheets and provide general secretarial support. • Preparation of letters and correspondence. • Receiving and distributing all incoming mail. • Take and redirect telephone calls for the General Manager where appropriate. • Maintenance of diary & appointments to ensure that appointments are honoured, meetings attended and deadlines met. • Maintain accurate and efficient filing systems, ensuring timely, safe follow-ups and traces, including logging cheques received. • Manage Christmas and Birthday Card distribution and post. • Handle and respond to guest complaint letters. • Prepare gift vouchers, prizes, donations, guest cards, letter of thanks, reports as requested. • Proactively engage in the development of processes and methods to improve the service and efficiency of all areas of the role. • Handling travel arrangements and accommodation where appropriate. • Taking, typing and distribution of minutes of meetings. • Preparation of VIP and complimentary forms. • To interact with guests either VIPs or previous complaints. • To build external relationships in the community. PR ROLE • Developing & implementing PR support strategies for Le Meridien Ibom, including producing individual PR plans for hotels. • Responding to media enquiries & information requests for Le Meridien Ibom. • Researching & seeking innovative PR opportunities, including identifying opportunities for the placement of stories & the promotion of spokespeople. • Develop & maintain strong relationships with Starwood’s international PR network (all divisions) in order to facilitate promotion of properties worldwide & the seamless organisation of international incoming media visits. • Develop & maintain strong relations with media community • Organisation &hosting of incoming international/foreign media groups & individual visits to Le Meridien Ibom- utilising & liasing with international PR network & travel partner relationship contacts. • PR project management & co-ordination - promoting the property through opportunities such as trade shows, product launches, press conferences, media dinners & events • Develop & maintain media packs - writing media materials, including news releases, presentations etc • Supporting & facilitating appropriate & timely Le Meridien Ibom response to crisis situations • Supervision & management of administrative systems: including monitoring of project costs, PR contacts database, hotel information, photograph, distributing of PR releases, monitoring, measuring & recording of all media clippings & impressions, maintenance of Starwood Press Club site • Producing monthly activity reports • Involvement in occasion Marketing projects • Assisting with destination website(e-commerce) • dealing with advertorial, reader promotions in papers • Other ad hoc duties as required Others GSI(guest satisfaction index) Champion E-commerce manager
