Daily Duties at National Security Agency:

- Directed and managed day-to-day administrative operations for the office; provided support for over 100 personnel within a two month period while processing short fused deadlines and was rewarded with two Cash Awards. - Coordinated and tracked management meetings, take notes and compiled to weekly reports for distribution; arranged and coordinated meetings, made travel arrangements, maintained the Chief and D/Chief calendars and managed scheduling; reviewed daily schedule to ensure all appropriate documents, facilities, and equipment for each meeting were in place. - Collected, prepared, and distributed highly confidential information, presentations, briefs, and correspondence to appropriate divisions; set up conference rooms and coordinated lunches for outside visitors visiting the office; typed, proofread, and compiled memorandums, reports for distribution; received mail and distributed to other offices as needed; received and sent faxes to appropriate personnel and offices; maintained action and suspenses coming in for tracking in a database for division and offices under the division; typed promotions, awards, personnel appraisals for division to meet deadlines. - Utilized databases and accounting programs to organize and maintain office records for filing. - Ensured that correspondence is filed on a timely basis and that it could be easily retrieved when needed; kept office supplies accounted for and purchased supplies as needed. Assisted other offices with back-up as needed while that meant either staying after hours or coming in early to complete the task at hand. Travel Manager - Travel Manager for approximately 4,500 individuals with a travel card account at the Agency. - Communicated at all times with travelers such as provided briefings and generated travel guidance monthly; assisted travelers and the bank with disputing charges that have showed up on a travel card account. - Processed approximately 40 travel requests per day ensuring travel information was correct and guidelines were followed and made sure travel funds were available. - Assisted Passport Agent to ensure VISAs and applications were processed in time for travel. - Assisted travelers with completing their travel expense reports and getting to finance in a timely manner. - Was rewarded with a monetary Star Award for organizing a system for the Travel Managers to use in the ticket room which is in constant use for ticket logs, hotel logs, and car logs. The system was able to keep abreast of tickets and other logs as needed while in an order that all Agents were able to follow and abide by. - Kept Standard Operating Manuals (SOP) updated quarterly for travelers usage. - Attended conferences as needed to be kept abroad of the changing travel and hotel industry.
