– Directly assisted Vice President and provided administrative support to senior-level executives. – Managed executives’ schedules, meetings, conference calls, reservations, coordinated cost-effective domestic and international travel, visas, lodging arrangements, and prepared detailed itineraries. – Drafted letters, speeches, memorandums, and prepared presentations for Co-Founder/Advisory Director. – Transcribed conference meeting minutes. – Prepared and analyzed portfolio stock holdings performance reports, spreadsheets, and technical charts. – Voted financial proxies for client accounts before deadline. – General Office Duties – Answered multi-phone system, screened and distributed mail, email and fax correspondence, ordered supplies, prepared and submitted invoices and financial statements, maintained office organization, multi-task and prioritize activities in a fast paced environment, purged files to cut office clutter and retrieve information efficiently, greeted and assisted visitors. – Negotiated contracts with vendors for cost savings and maintained warranties and service agreements. – IT Support – Installed network and software upgrades. – Managed office while Vice President traveled on a monthly basis.
