Daily Duties at George Mason University:
• Coordinated internal and external office communications and documentation: Review and analyze incoming mail and distribute mail to Dean and Budget Operations Supervisor. Prepared presentation materials, received visitors and interfaced with other organizations, including coordination with various company financial organizations as required purchased (office furniture and equipment, space plan, etc.) including coordinated repairs, received and distributed faxes, assisted with bulk mailings using Airmail and UPS Completed and submits expense reports and checks requests and other duties as assigned. Updated Student Information System and kept a running database of the forms. Prepared and enter faculty/adjunct faculty contracts each semester using electronic banner system. Assisted with supervising student employees assisted and organized staff luncheons. • Supervised Support Staff: Control and expedite work assignments to staff members. Prepared, maintained and transmitted time and attendance reports. Trained and supervised summer intern staff. Served as the liaison for student employees in the Office of Health and Human Services Communicated and assigned work to contract employees. • Created and managed schedules and workflow: Maintained supervisor’s calendar and Faculty when appropriate used own initiative to prioritize and schedule appointments. Scheduled and administered meetings and conferences, Maintained schedule of departmental conference rooms as well as scheduling of external conference rooms Managed multiple administrative requirements: Answered and Directed all phone calls and inquiries to the appropriate staff/faculty. Received visitors and interfaced with other organizations, including coordination with various companies financial organizations as required purchased (office furniture and equipment, space plan, etc.) Including coordinated repairs. Provided secretarial support to the Assistant Dean for Student Academic Affairs and assigned faculty. Completed and submits expense reports and checks requests prepare and enter faculty/adjunct faculty contracts each semester using electronic banner system Maintain filing systems for accounting records including maintenance of records listing and retrieval of records from archives, Travel Coordinator, Telecom Coordinator, Key Liaison, and Fixed Assets. Maintained office files and other duties as assigned • Supported meetings and presentations: Arranged and coordinated monthly meetings with Administrative staff and Budget Operations Supervisor, copied and distributed information pertaining to the meetings subject.
